The Institute on Aging is a hub of cutting-edge research on health and well-being, studying individuals as they travel across the decades of adult life. The IOA is seeking a Financial Specialist to fulfill the fiscal duties of the center. The position requires excellent fiscal and communication skills, the ability to carry out complex fiscal tasks, excellent problem solving abilities, and the ability to work independently and manage multiple responsibilities efficiently. In addition to performing general fiscal duties for the center, this position also serves as one of the center’s purchasing card holders and one of the center’s travel arrangers (both domestic and foreign) and is responsible for related purchasing, speaker payments, travel processing, expense reimbursements, auditing, and reconciling of Institute activities. This includes educating employees on purchasing- and travel-related matters and ensuring compliance with OVCR, SMPH, University, and State policies and procedures. The Financial Specialist will also manage a custodian fund for a clinical program, be responsible for clinical scan invoicing, and manage the center’s shipping/mailing systems. Duties are performed under the general supervision of the IOA Administrative Assistant Director.

Responsibilities: Primarily reviews, approves, and advises on a variety of advanced financial transactions. May prepare some financial transactions and reconciles transactions. Recommends controls and process improvements, troubleshoots advanced financial errors. Maintains financial records, provides administrative processing support, and provides customer service for staff and customers in an assigned program area to support program financial management.

  • 15% Audits, monitors, organizes, and updates fiscal records, reports, and affiliated materials
  • 10% Creates general reporting for transactions
  • 25% Audits or processes advanced transactions and assigns funding codes in accordance with established rules, regulations, and policies
  • 25% Audits or reconciles original purchase documents with payments
  • 5% Reallocates expenses to appropriate funding strings
  • 5% Drafts communications and advanced reports and maintains organization of varied records to provide administrative support within a specified work unit
  • 5% Answers advanced fiscal questions and provides information based on set materials and standards to various audiences
  • 10% Manages the IOA postage machine, monitoring funding, replenishing funds on the machine, and communicating with Pitney Bowes; and mails packages for the Institute via UPS.

Education:

Preferred
Associate’s Degree in Accounting or Business related field

– Proficiency with Microsoft Office Suite and a personal computer for word processing, email communication, and developing spreadsheets, reports, etc.
Preferred:
– Knowledge and experience with UW auditing, and travel and purchasing policies and procedures.
– Knowledge of UW’s WISER, e-Reimbursement, ShopUW+, and other financial systems.

Work Schedule:

Monday-Friday, daytime hours, to meet the needs of the Center.

Work Type:

Part Time: 50%
This position requires work to be performed in-person, onsite, at a designated campus work location.

Salary:

Minimum $24.04 HOURLY
Depending on Qualifications
The minimum salary for the position is $50,000. Salary will be determined based on qualifications and experience.
