Location – This role is hybrid with a mix of remote and in-person. Work primarily takes place at North Campus Edmonton.

Working for the Department/Faculty 

The Asset Information and Analysis unit is one part of the Integrated Planning, Development, and Partnerships department that supports the work management and other systems of Facilities & Operations. We enable team members across F&O to work efficiently and effectively by managing and tracking operational data within the portfolio.

Position 

Reporting to the Manager, Enterprise Asset System, the IWMS Functional Analyst for Enterprise Asset System plays a crucial role in supporting a wide range of departments/units across the university by blending their knowledge of facilities and operations services and operational support with expertise in an array of IWMS systems utilized by the University’s campus community. The Functional Analyst is responsible for the system configuration that ensures the IWMS processes run efficiently, accurately, and on time. it is essential that system configuration and processes are properly managed. Incorrect setup can have a significant impact on a wide range of communities on university campuses. The Functional Analyst must collaborate with other business units to identify and implement opportunities for service innovation by working with unit subject matter experts from across the Facilities and Operations as well as IST, HRHSE, Central Finance, RO and Faculties to improve processes and fully utilize the available systems. The Functional Analyst plays a key role in knowledge sharing and translating through documentation and reporting. In collaboration with stakeholders, the Functional Analyst documents new processes and provides expertise in the revision and maintenance of training and procedural manuals. The Functional Analyst troubleshoots and resolves transactional system issues, the Functional Analyst furthers the business units’ ability to make informed decisions through the development and maintenance of timely functional queries and reports that provide users valuable insight to support their processes and decision making.

Duties 

  • Administer and maintain the University’s IWMS systems, ensuring optimal performance and reliability.
  • Researches and recommends technologies to enhance the efficiency of operations and quality of service.
  • Serves as a bridge between business processes and system functionality. 
  • Conducts investigations into issues raised by a wide range of customers. 
  • Supports and implements process automation scripts to automate high volume rules based processes and tasks.
  • Provide database support and administration, ensure database integrity and accuracy. 
  • Develops and maintains an in-depth understanding of current business processes in order to identify shortcomings, where change is necessary, and present solutions in a clear and simple manner. 
  • Builds meaningful relationships with client groups and stakeholders in order to provide day-to-day advice and support to business management, business users, and on-campus stakeholders related to system functionality. 

Minimum Qualifications

  • Bachelor’s degree in Information Technology, Computer Science, or a similar discipline. 
  • Minimum 4 years of working experience with large scale enterprise systems. 
  • Proven experience in administering and supporting enterprise level asset management systems. 
  • Must have strong system experiences and be able to implement policies and procedures to ensure reliable operations of the Enterprise systems and BI programs. 
  • Strong Analytical and diagnostic skills.  
  • Excellent customer service Skills are required. 
  • Ability to manage multiple priorities.

Preferred Qualifications

  • Experience working in IWMS environments and specifically AiM is an asset. 
  • Experience working with Enterprise Records Management System and specifically Meridian is an asset. 
  • Knowledge of project management principles.
  • Innovative self-starter, with the ability to manage priorities and workloads under pressure.
  • Knowledge of Trans SQL, HTML/Java Script, Google suite, PowerBI, Tableau, Adobe products, AutoCAD are assets.
