JOB DESCRIPTION

Organizational Setting
The Office of Climate Change, Biodiversity and Environment (OCB) promotes the integration of innovative approaches in the activities of the Organization, for the sustainable use, management and conservation of natural resources for food and agriculture, and provides a coordination role on climate change, biodiversity and the environment.
The Secretariat of the International Treaty on Plant Genetic Resources for Food and Agriculture (ITPGRFA) performs the tasks established under the ITPGRFA and arranges for and provides technical, logistic and administrative support for sessions of the ITPGRFA’s Governing Body and for any subsidiary bodies, as may be established, and assists the Governing Body in carrying out its functions, including the performance of specific tasks that the Governing Body may decide to assign to it.

The position is located in the Secretariat of the International Treaty on Plant Genetic Resources at FAO headquarters in Rome, Italy.

Reporting Lines
The Knowledge Management Officer (Operations and Help Desk for the Multilateral System of Access and Benefit-sharing) reports to the Technical Officer in charge of the operations of the Multilateral System of Access and Benefit-sharing (Multilateral System) and Article 17 of the ITPGRFA.

Technical Focus
Supports the operations of the Multilateral System through its Help Desk. In particular, she/he supports National Focal Points with submission of national reports and contributes to their analysis as per the guidelines provided by the Governing Body, including collection and aggregation of data and preparation of quantitative and analysis and reports. She/he also supports the improvement of standard processes and operations of the Secretariat and the processing of documentation for the Governing Body and its subsidiary bodies.

Collection and analysis and dissemination of information to support programme projects, products and services.

Key Functions
• Collects and analyses relevant technical, social, economic, environmental, institutional and technology related information, to support the delivery of programme projects, products and services.
• Undertakes analysis, provides technical input for plans and reports and edits/revises technical/scientific documents.
• Participates in the development of improved work methods, tools and systems.
• Updates databases and web pages.
• Participates in multidisciplinary project/work teams.
• Collaborates in the development of training tools and materials and the organization of workshops/seminars, etc.
• Participates in the organization, conduct and follow-up of meetings, consultations and conferences, the development/production of required materials and the provision of information and assistance to partners.
• Drafts, edits and makes available on the internet promotional videos and webcasts and assists with documenting international events, including by providing photos coverage and using other social media tools.
• Drafts project publications, posters, brochures and other printed material to enhance the visibility and outreach of key departmental products.
• Performs other duties.

Specific Functions

• Supports the digital management of the documentation produced for the Sessions of the Governing Body and assists the Secretary with the IT-related logistics arrangements of the Sessions.
• Supports users of the Standard Material Transfer Agreement with their reporting obligations through the Multilateral System Help desk, including the provision of inputs for the update of the list of Frequently Asked Questions, the analysis of national submissions and the update of the global online report on germplasm flow.
• Supports the review of existing Help Desk standards and reporting procedures.
• Liaises with National Focal Points and provides advice on the preparation and submission of the national reports on Compliance to the Governing Body and liaises with relevant partners, in particular the World Conservation Monitoring Centre (WCMC) on the ongoing collaboration for monitoring and reporting.
• Liaises with the InforMEA Initiative and be responsible for the tagging of documents and validation of relevant links and information.
• Extracts and prepares the ITPGRFA data for the Sustainable Development Goal (SDG) Target 15.6 for the annual SDGs reporting and other relevant processes.
• Supports posting, updating, and dissemination of electronic documents and information related to the work of the ITPGRFA on the website, in particular the Benefit-sharing Fund operations.


CANDIDATES WILL BE ASSESSED AGAINST THE FOLLOWING

Minimum Requirements
• Advanced university degree in public relations, communication, social science, journalism, political science or a related field.
• Three years of relevant experience in communication, graphic design for the preparation of technical publications, posters, user interfaces and other visual materials and the production of high-resolution videos for international events.
• Working knowledge (proficient – level C) of English and limited knowledge (intermediate – level B) of another official FAO language (Arabic, Chinese, French, Russian or Spanish).

Technical/Functional Skills
• Work experience in more than one location or area of work, particularly in field positions, is desirable.
• Extent and relevance of experience in facilitating implementation of technical operations and programmes for plant genetic resources for food and agriculture.
• Extent and relevance of experience in supporting users with the national reporting processes.
• Extent of experience in developing training and information products on plant genetic resources for food and agriculture.
• Extent of experience in the digital processing of official documentation and on meeting arrangements at international level.
• Demonstrated experience and knowledge of FAO administrative processes and procedures would be an asset.
• Previous work experience with UN agencies would be an asset.
• Excellent computer skills and familiarity with a broad range of web and content management applications.
