I. MSF INTERNATIONAL

Médecins Sans Frontières (MSF) is an international, independent, medical humanitarian organisation that delivers emergency aid to people affected by armed conflict, epidemics, healthcare exclusion and natural disasters. MSF offers assistance to people based only on need and irrespective of race, religion, gender or political affiliation.

MSF International is the legal entity that binds MSF’s 24 sections, 26 associations and 18 brunch offices together. Registered in Switzerland, MSF International provides coordination, information and support to the MSF Movement, as well as implements international projects and initiatives as requested.

Within MSF International, the International Office (IO) is the Secretariat of MSF International Board and is under the direct management of the Secretary General (SG). The International Medical Secretary (IMS) reports to the SG and heads the International Medical Secretariat. The International Medical Quality Products and Publications (IMQPP) unit is part of the International Medical Secretariat providing both expertise and coordination functions to the MSF Movement in relation to quality and sourcing of all medical and health products, pharmaceutical management, and International Guideline Publications.

II. POSITION BACKGROUND

MSF develops medical guidelines for use in resource-limited environments. These guidelines draw from practical experience and scientific data collected in MSF’s projects, as well as evidence published by the World Health Organization and other leading medical institutions and scientific literature. Based on experience gathered in its projects, and in the absence of relevant documents from other agencies, MSF has been producing practical medical guidelines for more than 30 years. The International Guidelines team (hereafter: ‘Guidelines team’) has been established to ensure the quality production of MSF guidelines.

International guidelines include 2 categories:

  • Public guidelines: for use within and outside MSF, available through medicalguidelines.msf.org and MSF’s international guidelines application. MSF’s public guidelines are used by other non-governmental organisations and international agencies, thereby contributing to enhancing MSF’s profile.
  • Internal guidelines: for use by MSF only. There are currently about 30 different guidelines, some of them are produced in several languages (English, French, Spanish, Arabic).

III. PLACE IN THE ORGANISATION

The Layout officer is a member of the International Guidelines Publication team of MSF International. They are under the direct supervision of and report to the Guidelines team’s Manager. Collaboration with the Guideline’s team members and the IGP stakeholders is essential.

IV. OBJECTIVES OF THE POSITION

The Layout officer makes sure that all printed and digital editions of the international guidelines of MSF are well designed, attractive and easy to read and ensures the visual quality of the text and illustrations. They are responsible for the relationship with the printing agency to guarantee high quality printed editions of the international guidelines in all languages. They upload the international guidelines on the Content management system (CMS) in all Latin languages and ensure the quality publication of the digital versions in all languages. The Layout officer provides the Guidelines team with support and training on the use of the CMS.

V. MAIN RESPONSIBILITIES

1. Design and creation of the layout in print and digital format

  • Design and create templates for the guidelines, suitable for print and digital version;
  • Import and format text, illustrations and graphics into the format considering font, font size, style, column width and appropriate spacing;
  • Ensure high quality of the final document.

2. Preparation for publication

  • Prepare and convert the final document for printing;
  • Communicate the specifications for a new guideline (color, type of binding, etc.) to the printer and ask for a press for print document prior to printing;
  • Ensure high quality of the press for print document;
  • Upload the final document into the CMS;
  • Publish the guidelines through the CMS ;
  • Integrate and publish updates.

3. Coordination and documentation

  • Conduct all tasks in coordination with the relevant Guideline’s team members;
  • Ensure that the guidelines uploaded on the Guideline’s website and the external sales platform are up to date and that all prices are correct;
  • Relationship management with the printing agency, including quarterly update meetings;
  • Develop and maintain version control, file access permissions and electronic file archival.

4. Layout guidance and support on the use of the CMS

  • Prepare design templates and instructions for authors and editors;
  • Prepare manuals on the use of the content management system;
  • Provide training, guidance and support to the team and other users on the use of the CMS.

5. Be a proactive Guidelines team member

  • Proactive participation in biweekly meetings and provide regular information on the progress of activities;
  • Contribute to the annual Guidelines team’s plan of action and multi-year plans;
  • Participate in the budget forecast, midterm reviews and reporting;
  • Participate in the transversal projects of the Guidelines team;

VI.JOB REQUIREMENT

Qualifications

  • Various educational backgrounds accepted.

Work experience

  • Extensive experience with layout for print and digital publication
  • Experience in uploading and publishing digital publications through a content management system (e.g. Drupal)
  • Experience as illustrator and/or communication designer is an advantage.

Technical skills

  • Excellent computer skills;
  • Working knowledge of the Adobe package (Indesign + Photoshop is a must, Illustrator is an advantage)
  • Experience with Content management platforms, experience with Drupal is an advantage
  • Fluent in either French or English with good level in the other language. Working knowledge of Arabic or Spanish is a plus.
