Summary

The Lead, Program Management position functions as an Enrollment Management specialist for graduate school applicants and is responsible for coordinating and participating in the full scope of admissions funnel activities including but not limited to (i) development of marketing plans and recruitment strategies, (ii) administrative oversight of admissions review, (iii) enrollment monitoring, and (iv) onboarding and orientation activities. This position reports to the Graduate School Associate Dean and works closely with the Chair of the GSBS Admissions Committee.

 

This position may be eligible to work a hybrid work arrangement within the Greater Houston, TX area after an onboarding and training period.

Job Duties

• Develop and direct marketing strategies and programs to enhance recruitment for all programs within the graduate school using email, website, social media and other creative approaches. Manage budget for marketing efforts.

• Lead the development of general and program-specific literature for recruiting top-level graduate students in collaboration with graduate programs, the Graduate School of Biomedical Sciences (GSBS), and the Office of Communications.

• Develop successful student outreach programs at individual universities to recruit high quality graduate school applicants to BCM. Formulate new strategies to expand relationships with undergraduate institutions with the goal of increasing applications from students interested in biomedical research training.

• Represent the GSBS both in person and virtually to inform students, faculty, counselors, and other individuals or organizations involved in the graduate school/program selection process about the strengths of BCM’s research programs and biomedical research training.

• Plan and direct the GSBS and graduate program team of GSBS program administrators and faculty for off-campus recruitment events (e.g. at annual national student research conferences and at virtual recruitment fairs). This includes personal travel in the fall (approx. 75%) and spring (approx. 25%) within Texas and nationally.

• Manage budget for recruitment travel and activities.

• Manage strategic communications with student applicants and counselors at undergraduate institutions.

• Correspond with prospective students to assist them at various stages of the admissions funnel. Answer questions from prospective students about academic program selection.

• Assist in coordinating admissions activities with the functions, policies, and procedures of other GSBS administrative offices, academic/graduate programs, Office of Communications, and Admission committees (GSBS and program-specific). Lead communication to and cross-training of graduate program administrators in area of admissions.

• Update and maintain GSBS web pages pertaining to admissions and academic affairs, as assigned. Develop strategies to improve search engine optimization of webpages.

• Oversee the administrative aspects of the admissions process from inquiry to enrollment of new students, including onboarding of new graduate students.

• Plan and lead orientation activities for incoming students, working closely with various offices on campus, and ensuring compliance to BCM and accreditation requirements.

• Manage IT system for collection and review of electronic applications. Work closely with the IT department to troubleshoot issues within the admissions system as well as enhance/develop new processes.

• Implement admissions policies and procedures, and work closely with the faculty GSBS Admissions Committee, including developing agendas and reporting to the chair. Manage the workflow of program submissions to the GSBS Admissions Committee and ensures offers of admissions are appropriate to achieve desired class size.

• Manage data for recruitment and admissions programs and prepare statistical and other written reports as required. Analyze data to develop future recruitment and marketing strategy for all GSBS programs. 

Minimum Qualifications

  • Bachelor’s degree.
  • Six years of relevant experience.

Preferred Qualifications and Skills

  • Bachelor’s degree in student affairs, communication or educational leadership or relevant field.
  • Master’s degree preferred.
  • Minimum of six years of and track record of successful full-time work in graduate level admissions at a college/university.
  • Knowledge of computerized student information system strongly preferred.
  • Demonstrated ability to represent the College positively and effectively with prospective students, faculty, staff, alumni, and the public.
  • Understanding of local and national trends within graduate enrollment management.
  • Involvement in NAGAP and BioGAP (and/or other relevant professional organizations).
  • Demonstrated ability to write and speak effectively.
  • Demonstrated ability to work with computer-based systems and software.
  • Evidence of commitment to professional growth and development in college admissions.
