Position Summary

Reporting to the Manager Employment Services, the Leave Administrator is a subject matter expert and skilled in coordinating the effective management of employee leave entitlements and requirements.

The Leave Administrator is primarily responsible for providing timely and critical support and advice to Employees on their entitlements during a leave period, in addition to overseeing the integrity of employee leave data and reporting.

Duties

  • Administers all leaves in accordance with UofA policies, collective agreements, applicable employment laws and legislation
  • Provides guidance and advice on  processes related to all employee absences (special leave, vacation, casual illness, general illness, LWOP, sabbatical etc) as applicable to academic, support and postdoctoral employees
  • Reviews sick/illness leave entries for support employees including LTD and gradual return to work (as communicated through third party provider and HRHSE)
  • Liaises with Employment Lifecycle Advisors for updates related to waiving vacation   and processing return to work hours for vacation pay 
  • Apply, monitor and notify usage as per appropriate collective agreement
  • Ensures requests for leaves are received and processed in a timely manner, completes leave letters and top up spreadsheets for input
  • Determines eligibility for certain leaves (excluding general illness, medical, LTD and disability) and verifies that the employee requesting a leave receives proper process information
  • Liaises with Service units in Shared Services and HRHSE to validate payments during leave are calculated accurately based on eligibility and entitlement
  • Monitors program activity and provides metrics on leave usage
  • Responsible for the development, training, evaluation and monitoring of the transactional processes as related to the administration of leaves
  • Works with Auditors to provide documentation to support leave reporting obligations and validates university’s compliance with benefits plans and collective agreements
  • Coordinates with Employment Lifecycle Advisors to ensure employee job data and entitlements are maintained and updated in a timely manner
  • Responsible for maintaining the highest level of data integrity for leave records by conducting data audits and coordinating leave related data updates

Qualifications

  • Minimum 2 years progressive experience in a Human Resource function managing benefits and/or employee lifecycle changes, preferably in a large organization, preferably post-secondary or public sector
  • High School diploma supplemented by coursework in accounting, Human Resource Management and payroll or benefits
  • Comprehensive knowledge of related provincial and Canadian legislation and collective agreements and handbooks
  • Experience with PeopleSoft HCM (Human Resources, Benefits & Payroll for North America) or an enterprise management system is required
  • Strong research, analytical, problem-solving and time-management skills are necessary
  • High comfort level working in a fast-paced, high volume and solution driven culture
  • Exemplary client service, focused on demonstrating a genuine concern for understanding client needs and meeting or exceeding client expectations
  • Strong verbal and written communication skills required to share feedback and address concerns respectfully and constructively
  • Cooperative and productive workstyle working with diverse teams and clients to achieve desired results
  • Approaches challenges and opportunities with creative solutions to problems and offers detailed, well-articulated explanations
  • Strong planning and organizational skills, managing time and resources effectively to achieve results and identify critical tasks, effectively focusing on workload priorities while working within strict deadlines
  • Excellent attention to detail and accuracy
