Position Summary:

The UCI Human Resources (HR) enterprise is comprised of three unique business units: Medical Center, Health Sciences, and Main Campus. Workforce Relations provides strategic guidance and oversight across the enterprise in the areas of labor and employee relations, HR investigations, HR policy and compliance, and leaves administration. Within UCI Human Resources Workforce Relations, this position will report directly to the Leave Administration Supervisor, who has oversight of the Leave & Disability Management Team. This team oversees leaves of absence, the transitional return to work program, assists with accommodations and the interactive process, ergonomic assessments, injury prevention and compliance with state and federal disability laws, the Americans with Disabilities Act Amendment Act of 2008 (ADA), the California state law Fair Housing and Employment Act (FEHA), as well as UC policies and collective bargaining agreements. https://hr.uci.edu/

The Leaves and Payroll Coordinator supports the leaves administration function by entering leave data into the payroll and time reporting systems, managing employee leave cases, and performing support duties to the leaves administration team. Accurately analyzes employee data and submits entries in time and attendance and payroll systems in order to accurately compute payments of compensation to employees on leave of absence. Computes accurate retroactive payments and submits manual corrections when required. Enters employee data into time and attendance and payroll systems. Reviews assigned employee documents for accuracy and conformance with bargaining union contracts, university staff policies and procedures, federal and state labor code regulations, and other applicable policies or regulations. Audits a variety of HR and payroll logs, personnel transactions and reports and provides recommendations to expedite corrections when necessary. Provides responses to leave analysts inquiries regarding accruals and time reporting. Communicates with department staff and management, campus payroll staff, human resources staff and management and others as needed to clarify and/or resolve discrepancies. Uses knowledge of job protected leaves to manage less complex leave cases, maintain files, provide customer service and support to other leave analysts. Resolves issues of moderate scope and impact where analysis of situations or data requires review of a variety of factors. Escalates more complex leave cases or issues of significance to leave analysts. Provides education to managers and staff related to leaves of absences and payroll or time reporting systems. Effectively counsels employees and managers regarding all aspects of disability, leave of absence, worker’s compensation, benefit plans, utilization of entitlements under applicable laws and regulations, UC Policies, and collective bargaining agreements.

$29.26 – $51.29 (Hourly Rate)

Required:

Minimum 3 years of professional experience in an office setting. Minimum 2 years of experience in a similar role supporting an HR system (preferred) Two to three years of leave administration experience (preferred).

Bachelor’s degree in related area and / or equivalent experience / training.

Knowledge of FMLA and applicable state and federal laws. Ability to maintain confidentiality and safeguard information. Good oral and written communication skills. Ability to communicate effectively with all levels of the organization. Demonstrated listening skills and empathy with sensitive situations. Organizational and time management skills. Problem solving, problem identification and reasoning skills. Ability to provide high level of service while balancing need for efficiency. Knowledge of computer databases and Windows software. Intermediate mathematical skills. Basic knowledge of payroll processes, policies, and procedures; knowledge of organization-specific computer application programs. Ability to effectively utilize a case management software.

 

Preferred:

Education or training with an emphasis in payroll and/or HR systems and business processes (preferred).

PHR, SHRM or equivalent project management, HR and/or HR systems certifications preferred

Knowledge of rules and regulations affecting employee benefit programs. Ability to build relationships, collaborate and problem solve. Working knowledge of payroll processes, policies, and procedures; knowledge of organization-specific computer application programs. Knowledge of state laws pertaining to SDI and federal laws governing SSDI. Knowledge of UC or UCI collective bargaining agreements.
