As a Private Wealth Personal Assistant, you will have the opportunity to work alongside seasoned professionals and contribute to the success of our clients.Position Overview: As a Private Wealth Personal Assistant, you will be responsible for providing comprehensive administrative and operational support to one or more Associates and/or Partners within our private wealth management division. Your primary focus will be to assist with managing their personal and financial affairs, ensuring smooth operations, and enhancing the overall client experience.Responsibilities:
- Act as a trusted confidant and primary point of contact for the assigned senior Associate(s), demonstrating professionalism, discretion, and maintaining strict confidentiality.
- Manage complex calendars, schedule appointments, and arrange meetings, both internally and externally, coordinating with various stakeholders across different time zones.
- Organize extensive travel arrangements, including flights, accommodations, transportation, and visa requirements, ensuring efficiency and adherence to preferences and itineraries.
- Prepare and proofread correspondence, reports, presentations, and other documents, maintaining accuracy and attention to detail.
- Handle a wide range of administrative tasks, such as managing phone calls, screening emails, handling mail, and coordinating personal errands and requests.
- Collaborate closely with other team members, including wealth managers, legal professionals, and other support staff, to facilitate seamless communication and deliver exceptional client service.
- Assist in financial matters, such as tracking expenses, processing invoices, managing budgets, and coordinating with accounting and finance departments as necessary.
- Conduct research on various topics, compile information, and provide summaries or recommendations to support decision-making processes.
- Maintain and update client records, ensuring accuracy and compliance with regulatory requirements.
- Handle ad hoc projects and assignments as requested by the senior executive(s) or management team
Qualifications and Skills:
- Proven experience as a Legal Personal Assistant or Legal Secretary in a private wealth management or legal environment.
- Strong understanding of wealth management concepts, financial terminology, and investment products.
- Exceptional organizational and multitasking abilities, with a keen eye for detail.
- Excellent verbal and written communication skills, with the ability to interact professionally with clients and colleagues at all levels.
- Discretion and ability to handle sensitive information with confidentiality.
- Proficiency in using productivity tools such as Microsoft Office Suite and familiarity with relevant software and platforms.
- Strong problem-solving and decision-making skills, with the ability to anticipate needs and proactively address issues.
- Flexibility and adaptability to work in a fast-paced and ever-changing environment.
