Support the development and implementation of On-Demand Service (ODS) provision plans and procedures Oversee all OMT/Business Operations Strategy (BOS) responsibilities including data collection and validation and attend relevant internal and external coordination forums including High Impact Common Services training Maintain productive partnerships mostly at the WFP internal level and collaborate with counterparts in the key supply chain functions and external partners.
Support management of On-Demand Service Provision operations, and support specific operations as designated, in compliance with the established supply chain strategies, policies, procedures and controls, and following corporate standards. Support processing and database management of Service Level Agreements Provide support to all area offices as needed Track partner service requests and draft and prepare relevant forms and documentation Provides support to logistics operations and activities, following standard processes and facilitating, directly or indirectly, the effective delivery of NFIs to Partners. Provides inputs for information management for On-Demand Service Provision. Responds to various technical queries/requests for support, following standard processes, and obtaining guidance as required, to ensure timely and accurate resolution of all enquiries with a high standard of client service mindset. Assists with budget preparation, monitoring and revision for all delivery modalities, ensuring adherence to relevant procedures and compliance with corporate standards, including lessons learnt from existing practices; Support the implementation of the WFP corporate non-food tracking application, and provide technical guidance on this tracking tool to all concerned focal points.
- Assists in monitoring inventory management processes to track trends and account for the inventory status from source to beneficiary, as required.
- Assists in the management of ODS cargo accounting data quality and integrity. Assists with operational demand analyses for NFIs, assessments and operational planning for all delivery modalities.
- Processes documentation for the execution of logistics operations takes appropriate actions to resolve operational issues escalating various issues to the Supervisor; Provides guidance to other team members in order to assist them in completing standard tasks to agreed standards and deadlines.
LOGISTICS WORKING GROUP
The incumbent will support the LWG coordinator in various LWG activities across information management and coordination:
- Support the development of and assist in the running of the coordination meetings Maintain internal information sharing mechanisms, documentation formats, assessment formats, and central file store. Gather information on the overall logistics situation in the crisis area, including data on logistics procedures and bottlenecks from the various Logistics Working Group partners.
- Prepare briefing materials for the LWG Coordinator as requested; input on new projects to improve communications, information sharing, and coordination between participating organizations; and reports to internal or external stakeholders. Support on all requirements for interagency logistics support during sudden onset emergencies including rapid deployment to the field for on-ground interagency coordination All other requirements as requested
Education:
- Completion of secondary school education.
Experience:
- Six or more years of progressively responsible work experience in the related business stream
Knowledge & Skills:
- Proficient in the use of office equipment and computer software packages, such as Microsoft Word, Excel, and Outlook.
- Knowledge of work routines and methods in order to complete processes under minimal supervision.
- Uses tact and courtesy to give and receive information to a wide range of individuals.
- Ability to identify data discrepancies and rectify problems requiring attention.
- Experience in administering third party service providers’ contracts
- Experience maintaining corporate systems and running queries on ongoing shipments, pipeline information, insurance claims, and stock.
Language
- Fluency in both oral and written communication in English and in the duty station’s language
