About the role
The Logistic Officer is responsible for market assessments, supplier management, and procurement planning to ensure timely acquisition of goods/services. He will oversee order processing, inventory management, and logistics coordination for efficient project operations. Maintaining meticulous documentation and ensuring quality control are paramount, alongside risk management and compliance with regulations. The role involves regular reporting on procurement and logistics performance, fostering team collaboration, and adept problem resolution. Continuous improvement initiatives and readiness for emergency response are integral aspects of the position.
Responsibilities
- Market Assessment: Conduct market assessments to identify potential suppliers and evaluate their capabilities, prices, and quality of goods or services.
- Supplier Management: Establishing and maintaining supplier relationships, negotiating effectively, and ensuring compliance with SyriaDev procurement policies and procedures.
- Procurement Planning, and executing: Develops procurement plans based on organisational needs, budget constraints, and project timelines, and implement the procurement under the supervision of the operation team.
- Order Processing: Process purchase orders, expedite deliveries, and track materials/services to ensure timely receipt and delivery.
- Inventory Management: Supervising inventory levels, monitoring inventory movements, and necessary records and documentation
- Logistics coordination: Coordination of transportation logistics, including transportation plan and delivery to project sites.
- Documentation: Maintain accurate records and documentation related to purchasing activities, including contracts, invoices, and delivery receipts.
- Quality Control: Ensuring that goods and services meet quality standards and specifications through inspection and testing processes.
- Risk Management: Identify potential risks and develop mitigation strategies to address supply chain disruptions, such as supplier delays or transportation issues.
- Compliance: Ensure compliance with relevant laws, regulations and regulatory policies governing the procurement and logistics activities of SyriaDev and donors.
- Reporting: Prepare regular reports on procurement and logistics performance, including inventory status, supplier performance, and purchasing operations.
- Team Collaboration: Collaborate with internal teams, including project, finance and operations managers, to ensure procurement activities are aligned with project objectives and timelines.
- Problem Resolution: Address any issues or challenges that arise during the purchasing and logistics process, such as supplier disputes, delivery delays, or quality issues.
- Continuous Improvement: Identify opportunities for process improvement and efficiency gains in purchasing and logistics operations and implement best practices accordingly.
- Emergency Response: In emergency or crisis events, coordinate rapid procurement and logistical support to ensure timely delivery of essential supplies and services to targeted areas.
Position Requirements
- Minimum 3 to 4 years of previous work experience in supply chain in humanitarian response.
- Strong knowledge of procurement processes, and logistics operations.
- Excellent communication and negotiation skills, and ability to build strong relationships with suppliers, stakeholders, and team members.
- Proven ability to work under pressure, manage multiple tasks simultaneously, and meet tight deadlines.
- Arabic as a native language, and English, and Turkish Languages are preferable.
- Experience in livelihood procurement is an advantage.
- Good level in using the MS Office Package in addition to the email, and the cloud storage.
