Under the supervision of the Supply and Logistics Specialist and with over-all guidance from the Deputy Representative for Operations, the staff will support the Supply and Logistics unit to ensure that the emergency preparedness for the year is met and in compliance with the learnings from the After-Action Review of UNICEF’s Typhoon Odette response.

The Logistics Assistant will have the following duties and responsibilities:

 Customs Clearance:

  • Coordinate with customs authorities to ensure the timely clearance of UNICEF shipments.
  • Prepare and process required documentation for customs clearance, ensuring compliance with local regulations and policies.
  • Monitor and address any issues or delays in customs clearance processes, escalating complex cases when necessary.
  • Negotiate with port and customs officials to minimize demurrage and detention charges, securing waivers as needed.
  • Maintain updated records of customs transactions and contribute to periodic reporting on customs-related activities.

 In-Country Logistics:

  • Contribute to supply planning by advising on infrastructure constraints and delivery mechanisms.
  • Monitor and manage customs clearance, port/airport operations, and logistics budgets.
  • Ensure effective pipeline monitoring and timely procurement actions.
  • Support contracting and performance monitoring of third-party logistics services.
  • Maintain documentation and resolve operational issues in logistics execution.

Warehousing and Inventory Management:

  • Assess and optimize warehousing capacity, conditions, and processes.
  • Supervise receipt, storage, and dispatch of supplies while ensuring compliance with inventory control standards.
  • Monitor inventory trends, prepare stock reports, and conduct regular physical counts.
  • Manage near-expiry supplies and oversee disposal processes through established protocols.

Alternative Delivery Mechanisms and Procurement Services:

  • Maintain and analyze data on procurement activities, ensuring accurate reporting and pipeline monitoring.
  • Facilitate partnerships with UN agencies to support collaborative logistics and procurement strategies.
  • Oversee the customs clearance, storage, and distribution of procurement services commodities as needed.

Capacity Building and Knowledge Sharing:

  • Provide input to enhance team and individual capacity through knowledge exchange, training, and development of workflows or manuals.
  • Assist in onboarding and training newcomers to ensure consistent operational standards.

Cross-Functional Coordination:

  • Liaise with internal and external stakeholders to ensure efficient logistics and supply chain operations.

Minimum requirements:

Education: 

  • Completion of secondary education is required.
  • Professional/university level courses in Supply and Logistics administration considered as an asset.

Work Experience:

  • A minimum of 5 years of progressively responsible experience in supply chain management or a commercial context is required.
  • Knowledgeable with the use of SAP MM Module. Understanding of development and humanitarian work is an advantage.
