Role and responsibilities 

The purpose of the assistant position is to assist in the day to day implementation of the support functions responsibilities. Use actions words such as conduct or assist for the position relevant responsibilities.  

 

Generic responsibilities (max 10) 

These responsibilities shall be the same for all positions with the same title. The responsibilities shall be short and essential. Details belong in the Work- and Professional Development Plan. 

  • Adhere to NRC policies, tools, handbooks and guidelines 
  • Assist on the implementation of the Logistics function portfolio according to plan of action 
  • Prepare weekly, monthly status reports for logistics activities as required by management 
  • Ensure proper filing of documents 
  • Promote and share ideas for improvement of the support function 
  • Conduct liaison activities as instructed by supervisor 

Specific responsibilities  

These responsibilities shall be adapted to the particularities of the job location and context, phase of operation, strategic focus and type of programme intervention. This section shall be revised whenever a new employee is hired or the context changes significantly. 

Procurement

  • To manage low value procurement requests at the area office according to NRC HB and country SOP. 
  • To liaise with suppliers to ensure prompt and accurate delivery of goods, services and equipment. 
  • To assist in preparation of documentation for bids committee meetings. 
  • Maintain proper files of requisitions, quotations and purchase orders. 
  • To report all procurement status in weekly/ monthly basis to the line manager. 

 

Fleet, and transportation management 

  • Be responsible of the day-to-day management of the fleet and drivers at NRC office that will include fuel allocation for the vehicles.
  • Ensure the weekly movement plan is in place and drivers are assigned accordingly. 
  • Organize for the dispatch of goods and equipment whenever required and verify the packing list, waybills and export documentation 
  • Oversee fuel consumption, purchase, and tracking.

By interfaces, NRC means processes and projects that are interlinked with other departments/units or persons. Relevant interfaces for this position are: 

  • Logistics

  • Programs 
  • Area Offices 

Competencies  

Competencies are important in order for the employee and the organisation to deliver desired results. They are relevant for all staff and are divided into the following two categories:  

1. Professional competencies  

These are skills, knowledge and experience that are important for effective performance.  

Generic professional competencies:  

  • BA in supply chain management or equivalent; 
  • Minimum of 1 year experience from working as Logistician in a humanitarian/recovery context 
  • Previous experience from working in complex and volatile contexts 
  • Documented results related to the position’s responsibilities 
  • Good in English and Ukrainian Languages  
  • Ability to use MS office 

Context/ Specific skills, knowledge and experience:  

  • Computer skills (common Microsoft Windows and Office applications) 
  • Ability to work under pressure and meet deadlines  

2. Behavioral competencies (max 6)
