Cesvi is an Italian NGO working for global solidarity. Cesvi operates worldwide to support the most vulnerable populations in promoting human rights and achieving their ambitions, for sustainable development.

Cesvi has been working in the Kurdish Region of Iraq since 2018, focusing on the sectors of livelihoods, Protection, cash assistance and social cohesion.

CESVI supports the most vulnerable sections of the population such as displaced persons, refugees and host communities, with emergency livelihoods and food security activities.

The Logistic Officer will work within the framework of the above-mentioned mission.

 

Role of Logistic Officer:

The Logistic Officer oversees the operations Procurement & Logistics in the field offices. S/He ensures the smooth functioning of all day-to-day operations and adherence to CESVI’s policies and procedures. S/He oversees the timely arrangement of logistics, procurement.

The Logistic Officer works (Three days in a week, full time) closely with the Base Manager/s, accountant/s and Project Manager/Field Officers to plan for and implement smooth operations of the different project locations. S/He reports to Country Administrator and Project Managers

 

MAIN TASKS AND RESPONSABILITIES

  • Ensure the correct implementation of CESVI and the Donors’ logistics and procurement procedures;
  • Support the Project Manager/s in preparing the projects procurement plans (PP) and periodically monitor the updates;
  • Be responsible for the whole procurement process done at country or field level (preparation of procurement documents, collection of quotations, final acceptance of the goods distribution/installation or service provision, archiving of procurement related documents).
  • Ensure that all necessary documentation is completed on time for payments;
  • Prepare and regularly update the Organization’s service providers database;

Management of Cesvi’s assets

  • Be directly responsible for the appropriate management of the Organization’s assets, in particular: offices (especially stores), cars, IT material;
  • Oversee the administration of framework contracts, leases and rental agreements.
  • Be responsible for the Organization’s inventory in the Country, that is monthly updated;
  • Fleet management: be responsible for cars movements and maintenance, driver’ shifts, fuel check, equipment checks, maintenance plan and logbooks’ check;
  • Perform frequent checks on the quality of equipment and supplies, ensuring that items are maintained in a good condition;
  • Frequent visits to CESVI Erbil and Sulaymaniyah Offices
    Be responsible for any additional procurement requests from CESVI.

compliance

  • Ensure all legal and regulatory documents are filed, and monitor compliance with local laws of any issue related to registration, tax filings, visas, and other operational and compliance matters;
  • Support the project staff with all the required documentation to ensure coordination with the competent local authorities (EJCC-DJCC) aimed at obtaining permits to operate in the target areas;

 

Education: Bachelor’s degree in relevant field or equivalent experience.

Professional experience

  • 1 – 3 years of experience in a similar position. Previous work experience in an ING is added value.
  • Good understanding of the procurement rules and regulations.
  • Ability to work with extremely tight deadlines and multiple tasks, delivering good quality work in timely fashion.
  • High level of interpersonal and negotiation skills and motivation to work as part of a team.

Languages: Kurdish, Arabic, and English.

Computer Skills: Excel, Outlook, and MS Office.
