Job description

The Logistics specialist will provide specialist knowledge in the areas of receipt and dispatch, warehousing, distribution and logistics planning. Be able to process map, model and continuously improve the logistics service. To provide experience and direction on the resolution of queries/issues through interface with other teams/organisations. Provide line management to logistics professionals and oversight to the end to end logistics process.

Core Activities

  • Ensure all logistics planning is carried out in accordance with the latest issue of the BAE SYSTEMS Part 145 Maintenance Organisation Exposition (MOE). General awareness of the defence logistics framework and associated procedures.
  • Identification and assessment of warehousing and storage requirements to ensure provision of advice into organisation in order to improve logistics performance.
  • Analysis of existing stock including Volumes, Quantity, Location and Specialist storage requirements. Identify and deliver continuous improvement opportunities in order to deliver an improved performance.
  • Identification of warehousing and distribution options (e.g. use of 3rd party suppliers) in order to provide advice into the organisation on the most effective option.
  • Review and ensure the warehouse/distribution solution meets performance against Key Performance Indicators (KPIs) in line with the Part 145 Exposition.
  • Ensure the preservation of materials and equipment is conducted as defined within logistics storage systems.
  • Ensure the storage, handling and movement of hazardous materials is carried out as defined within hazard data sheets and mandated procedures.

  • Pick, pack and deliver parts requests to the customer, ensuring the right parts are delivered to the right place at the right time safely including line side replenishment.
  • Protect any materials for dispatch against transit damage. Adhere to material packaging standards publications.
  • Liaise with relevant transport agencies to collect items for onwards dispatch to customer, BAES or supplier. Ensure that all accompanying documentation requirements are met.
  • Identify and record inability to supply items ensuring all relevant teams are aware.
  • Build effective business relationships with line and suppliers to facilitate supply problems.

Key Accountabilities

  • Performance indicators – Ensure the effective provision of Physical Logistics activities by meeting delivery targets and reporting any impact on Continuing Airworthiness. Understand how individual actions contribute to overall delivery performance.
  • Completion of activities – Ensure all Physical Logistics activities are appropriately documented and airworthiness records are maintained on relevant systems (IT / paper based). Compile required reporting, identify any issues and escalate as appropriate.
  • Procedure/standards – Manage the Physical Logistics team(s) compliance with the Part 145 Exposition, its associated procedures and standards, and any other Company procedures and standards, as applicable. Identify, propose and implement change as required, whilst ensuring compliance.
  • Safety Management System – Ensure Human Factors and Error Management philosophies are applied to all Part 145 activities. Understand the risks associated with Physical Logistics and the means by which they are mitigated and managed.
  • Management System Assurance – Ensure Physical Logistics activities are compliant with the AM&S Governance and Assurance framework, including supporting Process Confirmations and independent assurance audits. Support the response to audit findings in a timely and appropriate manner and provide information to support the relevant reviews. Support the implementation of identified improvements to overcome any non-compliance and monitor effectiveness.
  • Statutory / Regulatory & Legislative requirements – Able to demonstrate an appropriate level of understanding and application of the relevant Continuing Airworthiness Regulatory framework. Support the implementation of any Regulatory-driven changes into the Physical Logistics activities. Ensure compliance with all other requirements, e.g. ITAR, EaPW, ISO, etc.
  • Contractual Requirements – Ensure compliance with applicable contractual requirements, e.g. through support to contract reviews and the incorporation of required changes into Physical Logistics processes.

Qualifications

  • In depth knowledge of the workings of a warehouse / logistics operation and the importance of regulation and compliance with procedures in a safety critical environment
  • Excellent planning and expediting knowledge and skills and can demonstrate good experience of using asset tracking / warehouse and planning systems. Knowledge of customer and supplier logistics and Release to Service (RTS) documentation.
  • Excellent relationship building skills in order to build working rapport with the line and suppliers and problem solving skills to ensure quick resolution of items shortages to the line.
  • Requires good IT literacy skills and knowledge of asset tracking / ERP systems.
  • Maintain a strong working relationship with the Receipt and Dispatch/Import and /Export staff to ensure accurate transfer of items inbound and outbound to prevent processing delays
  • This person would be seen, as a competent individual in operational supply chain activities, be able to support the processes, propose improvements and manage those improvements into the day-to-day running of the operation.
  • Must have a working knowledge of Export Control requirements including ITAR/EAR regulations and the movement of Classified equipment
  • Experience leading a team in a logistics operation, working independently and coaching logistics professionals.
  • Forklift Driving License desirable
  • Driving License (UK)
  • Institute of Supply Chain Management Level 3, NVQ3 Award or its equivalent is desirable but not essential.
  • IT Literate.
