JOB SUMMARY
The Medical Affairs Coordinator provides moderately professional secretarial skills of a complex and confidential nature. This position uses initiative and judgment to relieve the department, assigned physicians, and advance practice providers of routine administrative duties.
MAJOR RESPONSIBILITIES/DUTIES/CRITICAL TASKS
Sets up meetings, responds on behalf of faculty. Learning to prepare budget information for Administrator, Behavioral Health to review with Department Chair.
Works under the direction of the Administrator, Behavioral Health and coordinates with contracts manager to make sure provider coverage is maintained in the respective section.
Maintains calendars; works closely with clinic staff and other UTHSCT personnel to coordinate schedules and resolve calendar conflicts. Completes purchasing requisitions, payment requests, travel arrangements and paperwork. Reviews professional development account activity for accuracy for each practitioner.
Directs patient-related calls and mail appropriately; posts and updates On Call Schedule on SharePoint for on call schedule; prepares other patient reports as assigned.
Answers phones, picks up and distributes mail, orders office supplies and food service. Provides customer service to anyone walking into the office needing assistance.
Assists practitioners with submissions of credentialing packets to Medical Staff Services. Facilitates renewal of practitioner’s licenses, TB surveillance, fit testing, and mandatory training.
Assists in completing quarterly physician time studies. Prepares budgets and reconciles accounts as assigned.
Drafts, edits, and finalizes correspondence.
Reconciles and place supply orders for the department.
Prepares leave slips and out of clinic forms. Serves as a liaison between providers, timekeeping, and clinic staff. Communicates with other departmental and UTHSCT personnel regarding provider absences.
Other duties as assigned.

Demonstrated analyzing and problem-solving skills.
Excellent communication skills, both verbal and non-verbal.
Proven organizational skills.
Ability to multi-task in a fast-paced environment.
Knowledge of Microsoft Office Products (Word, Excel, PowerPoint).
MINIMUM REQUIRED EDUCATION/EXPERIENCE
High School Diploma or equivalent is required.
Two (2) to three (3) years’ experience in administrative work in a clinical setting with multiple practitioners
is required.
