Job Title: Member Support Coordinator
Location: Flagstaff, Arizona
Department/Division: CREW, Southwest Arizona
Status: Regular Full-Time, Salaried (Exempt)
Schedule/Hours: Flexible schedule (Monday- Friday); Full-time, 40 hours/week with additional hours as needed. Some evening hours may be occasionally required.
Reports To: Associate Director of Member Resources
Travel: Some regional travel required (less than 10%)

Position Summary:
Based in Flagstaff, Arizona, ACE’s Southwest Arizona program operates year-round with young adult volunteer AmeriCorps crews completing trail, ecological restoration, historic preservation and conservation field projects throughout the southwest region of the US, from the depths of the Grand Canyon to the alpine pine forests of the Southern Rockies to the wild Saguaro forests of the Sonoran Desert and beyond!
The Member Support Coordinator is responsible for ensuring ongoing member management and support of participating volunteers during their service with ACE. This dynamic position is office-based and works closely with all staff members and volunteers (AmeriCorps and Non-AmeriCorps members) within the ACE Southwest Arizona Crew Program. The Member Support Coordinator will frequently interact with ACE’s members, other divisions as well as the general public and as such is expected to maintain a professional demeanor, positive attitude, and willingness to act as an ambassador of ACE’s program at all times. The Member Support Coordinator will need to be flexible, adaptable, and enthusiastic while working in a fast-paced office environment with regular visits to field operation locations to visit crews.
This position will work closely with the Associate Director of Member Resources as well as other coordinators on the Member Management Team and will also collaborate remotely with other ACE offices across the U.S. to ensure consistent communication and AmeriCorps policy compliance across divisions.
The Member Support Coordinator’s two primary responsibility areas include:
1) Member onboarding, orientation, support, and management
2) Administrative AmeriCorps program compliance
Essential Functions and Responsibilities:
Member Onboarding, Orientation, Support, and Management
Volunteer members participate in ACE’s crew program serving for three, six or nine month terms. As a conservation professional development organization, we strive to provide excellent member support on-and-off projects to all members in the program. The Member Support Coordinator will be responsible for the following:
- Engage, oversee, and support AmeriCorps & volunteer members during their ACE conservation service.
- Develop and maintain strong communication between ACE staff and all incoming and current AmeriCorps members; serve as one of the main points of contact for members.
- Maintain, develop, and disseminate member support materials in collaboration with other ACE departments.
- Coordinate orientation agenda and duties with ACE staff and co-lead the ACE/AmeriCorps orientations with the Outreach Coordinator and Associate Director for each cohort of conservation volunteers.
- Conduct and document required Mid-Term Evaluations and End-of-Term Evaluations with ACE AmeriCorps members.
- Provide performance and development feedback to members.
- Maintain the utmost professionalism and confidentiality in sensitive communications with members and staff.
- Assist with review AmeriCorps member timesheets weekly for accuracy and timesheet compliance in a timely fashion while working with members to submit those sheets regularly.
- Ensure that members have the most up-to-date resources that supplement their field.
- experience by updating member schedules with information for professional development opportunities, trainings, etc.
- Help lead ACE member trainings focused on core/interpersonal skills and professional development.
- Assist other ACE staff to mentor and develop members into stewardship and leadership roles.
Administrative AmeriCorps Program Compliance
The majority of the volunteer members that participate in the ACE Southwest Arizona program are enrolled in ACE’s AmeriCorps grant. In order for ACE to successfully support an AmeriCorps grant, there are several ongoing grant administrative and compliance needs required for each enrolled member. The Member Support Coordinator will be responsible for the following:
- Process administrative paperwork for AmeriCorps member term enrollments and exits through the AmeriCorps eGrants system by given deadlines.
- Data entry; upload and manage all member information in ACE’s internal database and spreadsheets for clear tracking of ACE Conservation Corps members across all divisions.
- Assist with AmeriCorps compliance, member file management, criminal history checks, and other enrollment duties.
- Assist the Member Management team to ensure on-boarding process runs smoothly for all new arrival groups; organize orientation materials and new member documentation; follow up on on-boarding items to make sure they’re completed on time; coordinate arrival details with incoming members.
- Collaborate with other ACE staff to ensure compliance with all program administrative/ AmeriCorps requirements and meeting data compliance standards.
- Lead division leadership with administering and allocating slots for program/AmeriCorps grants.
- Coordinate AmeriCorps enrollment and exit processes, making sure that all of division procedures are compliant with ACE national standards as well as AmeriCorps standards.
Other Activities, as assigned
- Conduct AmeriCorps member interviews utilizing the standard recruitment protocol and screen candidates from all backgrounds, as needed to assist the Outreach Coordinator.
- Review AmeriCorps applicants, as needed to assist the Outreach t Coordinator.
- Respond to emergencies and organize medical care for sick or injured Members (including after hours).
- Assist Associate Director with identifying places for program improvement.
- Attending local university career fairs.
- Occasional visits to the field.
- Other duties as assigned.
Required Experience and Qualifications:
- Must have a strong comfort level speaking on the phone.
- Attention to detail.
- Basic comfort level with public speaking.
- Familiarity with basic office practices, file management, records maintenance.
- Must maintain a positive, constructive, and flexible work environment conducive to team dynamics.
- Willingness to travel locally, work occasional weekends and attend community events.
- Strong skills in leadership, interpersonal communication, organization, management, conflict resolution and motivating others.
- Outstanding organizational and time management skills with the ability to maintain and effectively support a complex array of projects.
- Computer skills required including intermediate knowledge of Excel and Google Suites, and professional email etiquette; Strong data management skills.
- Ability to function as an efficient, effective and adaptable team member displaying professional-level proficiencies in both technical and interpersonal skills.
- Ability to receive and provide constructive feedback.
- Ability to prepare and maintain records and reports.
- Ability to understand and carry out oral and written instructions.
- Ability to understand and follow ACE systems and processes.
- Proven ability to work independently and be a positive, contributing member of a group.
- Possess a high school diploma or GED certificate. BA/BS degree from an accredited college/university preferred.
- 1-2 years of previous experience prior with volunteer, outreach or AmeriCorps member management and support, preferably in a Conservation Corps.
- Previous experience working in a team setting supporting/developing young adults as well as experience in nonprofit, conservation, and/or natural resource management fields preferred.
- Experience with or knowledge of working with AmeriCorps as either an AmeriCorps member or in a staff capacity are also preferred.
Other Requirements:
- Must be authorized to work in the U.S.
- Valid driver’s license and an insurable driving record
- Proficient in English
- Ability to pass a federal criminal background check

Ideally, this candidate will also have experience with residential youth programs.

Physical Demands, Work Environment and Working Conditions:
- Physical Demands: Requires frequent sitting, standing, walking, carrying, using hands to handle or feel, reaching with hands and arms, talks and hears. Manual dexterity required for use of computer keyboard/mouse and other routine office equipment. May occasionally be required to stoop, kneel, climb stairs, and/or crouch.
- Vision Requirements: Requires close, distance, peripheral and depth perception vision as well as the ability to focus.
- Weight Lifted or Force Exerted: Frequently moves up to 10 lbs., occasionally moves up to 25 lbs.
- Environmental: Moderate noise such as in a business office with equipment and light traffic.
- Travel: This position requires local, domestic travel.
Compensation: Starting annualized salary range of $40,000 to $44,000 depending on experience (40 hours/week for 52-weeks), paid bi-weekly.
Trainings and Certifications – Member Support Coordinators may receive industry recognized certifications such as Mental Health First Aid, Crisis Intervention, and Wilderness First Aid.
