Working Environment 

Jesuit Refugee Service (JRS) is a faith based International NGO that has been working in Iraq for the past eight years. Our mission is to accompany, serve and advocate on behalf of refugees and other forcibly displaced persons. JRS Iraq belongs to JRS Middle East and North Africa Regional Office coordinating the work in Lebanon, Jordan, Syria, and Iraq. In 2022, nine people work in the CO (Country Office) and JRS Iraq runs programmes mostly in Qaraqosh and Sharya for an approximate total of 150 staff members.

General Purpose of the Position 

The translator/secretary will translate from Kurdish and Arabic into English or vice-versa. Likewise, she will translate written texts from or into these languages, and draft correspondence in these languages. She will also contact project beneficiaries for setting up consultations with the JRS psychologist and/or psychiatrist. She will be required to visit project locations as may be necessary.

 

Main Responsibilities of the Position

  1. Welcome visitors to the JRS MHPSS services in or out of the JRS Sharya Community Services Centre as the case may be with dignity, and make them feel at ease.
  2. Take phone calls to the MHPSS project with great respect and care for every caller, and likewise make phone calls to persons who will be visited.
  3. Pass on to the Project Director in a timely manner all relevant information from phone calls or visits.
  4. Make all necessary contacts and arrangements to facilitate appointments.
  5. Handle confidential information with total confidentiality and complete security.
  6. Establish, maintain and monitor accurate, neat and efficient electronic and manual filing systems.
  7. Data entry and record keeping: keep updated computerized and printed records of patients, students, and visited families, as well as attendance and discharge data.
  8. Provide a variety of clerical duties involving: printing and photocopying, typing letters and other documents.
  9. Sort and classify incoming email, mail and other information to appropriate recipients.
  10. Order equipment and stationery.
  11. Schedule and coordinate the meetings.
  12. Prepare accurate minutes of meeting.
  13. Support the logistics person in related tasks.

 

  1. Archiving
  • To archive base programme documents (filled forms, empty forms, etc.) respecting the JRS policies and procedures.
  • Securing information by completing the database backups according to JRS policies.

 

  1. Reporting

  To report weekly about the achievements to the Project Director.

 

Availability

 Undertakes any other duties as assigned by the Project Director that are within the ambit of the position.

 

 

 

 

 

 

 

Qualifications & Preferred Skills

Qualifications, skills, and attributes

  1. Previous experience in a similar setting, institute of higher education, NGO or government department.
  2. Two years’ clerical/secretarial experience, including word processing and computer skills
  3. Ability to communicate effectively and help others.
  4. Proficiency in English, Kurdish and Arabic.
  5. Excellent administrative skills
  6. Good spoken and written communication skills
  7. Ability to work under pressure and capable of prioritising tasks
  8. Ability to work well with people of different faiths and ethnic background.
