The Australian Refugee Association Inc. (ARA) is a community-based organisation providing settlement, migration, and other forms of assistance to refugees, migrants and other vulnerable people of concern.

About the Role
The Migration Administration Officer plays a crucial role in providing administrative support in the area of migration services. This position requires a strong attention to detail, excellent organisational skills, and a deep understanding of humanitarian migration processes.
The main responsibilities and tasks of the Migration Administration Officer include:
- Assisting ARA’s Migration Agents to collate documentation and complete migration applications ready for review prior to lodgement with the Department
- Liaising with clients to obtain additional information and supporting documentation for their applications
- Managing the administrative aspects of client intake, including documentation, data entry, and receipt of payments
- Respond to requests for additional information from the Department and follow up progress as per Migration Agent instructions
- Providing general administrative support to the migration team, including scheduling appointments, maintaining records, and preparing reports
- Ensuring compliance with regulatory requirements and maintaining accurate records of services provided
- Collaborating with internal teams to ensure smooth delivery of services to clients
- Communicating with external stakeholders such as government agencies, community organizations, and other service providers as needed
- Contributing to the continuous improvement of administrative processes within the migration department
About You
The ideal candidate for this role is highly organised, culturally sensitive, and possesses strong communication skills. They should be able to handle sensitive information with professionalism and maintain confidentiality at all times. Additionally, a commitment to supporting the successful integration of humanitarian entrants into Australian society is essential.
Proficiency speaking language/s common to people wishing to enter Australia on a humanitarian visa is highly desirable and advantageous.
Required qualifications:
- Relevant tertiary qualifications, or working towards qualifications with relevant experience gained from previous appointments.
Required skills:
- Excellent knowledge of immigration laws and regulations
- Strong administrative and organisational skills
- Ability to work effectively with individuals from diverse cultural backgrounds
- Proficient in using database management systems and data entry
- Excellent communication and interpersonal skills
- Attention to detail and ability to handle sensitive information with confidentiality
- Ability to prioritise tasks and manage time efficiently
- Problem-solving and decision-making abilities
Required experience:
- Prior experience with an “Approved Proposing Organisation” or experience in migration administration is preferred
- Demonstrated experience in providing administrative support in a fast-paced environment
- Familiarity with government forms, processes, and documentation related to migration procedures
- Experience in working with migrants and settlement services is an advantage
Special Conditions:
- Must have evidence of Australian residency or right to work in Australia.
- Must have or be willing to obtain a current and valid Working With Children Check that shows you are able to work with children in South Australia.
- Must have or be willing to obtain a Child Safe Environment training certificate.
- Must be able to demonstrate good character through provision of a satisfactory Criminal History Check (Police Check)
- Must be willing to participate in training and development opportunities as part of continued professional development.
- Must hold a current driver’s licence.
- Must own a roadworthy vehicle that is registered and has minimum third party property insurance and be able to use this for work purposes.
- Must be willing to work in various locations within the metropolitan area.
- Must be willing to participate in occasional after hours work.

This is a full-time role offered on a fixed term basis to June 2025, aligned with the funding arrangements for our migration programs. The role is classified as Level 2 under the SCHADS Industry Award. ARA is a Public Benevolent Institution and able to offer salary packaging benefits.
