MN Accounting Support Specialist

Location: Hybrid – At least 3 days/week in office at Pheasants Forever National Headquarters in White Bear Lake, MN

Position Description:

The Accounting Support Specialist works closely with the Accounting Team in support of various financial and operational processes.

Key Responsibilities:

• Sort, scan, and record all inbound receipts, recording necessary information to be reported directly to our accounting team and other internal departments.
• Accurately coordinate and manage the preparation of the daily bank deposit for all inbound check receipts, requiring a detailed knowledge of activities and strict adherence to internal processes and quality control procedures.
• Receive, organize, and distribute invoices and correspondence sent to the Home Office via mail.
• Communicate with internal and external stakeholders regarding the status of donations, receipts, invoices, and correspondence sent to the home office via mail.
• Collaborate with the Accounting Team in the identification and resolution of disputed and canceled payments.
• Provide accounts receivable inquiry and processing support to Development, Grant Administration, Corporate Sales, Conservation Operations, and other teams.
• Monitor and update insurance policies for equipment and vehicles added or dropped from coverage.
• Maintain schedules of equipment and vehicles, including additions, sales and related information.
• Coordinate with team members and dealerships to facilitate equipment and vehicle leasing paperwork and registrations.
• Assist with insurance related inquiries and requests from team members and chapter volunteers.
• Administer and support corporate and chapter purchasing card programs.
• Assist with Department of Transportation compliance for vehicles and drivers.
• Other duties and special projects as assigned.

Required Knowledge, Skills, and Abilities:

• Associate’s degree in accounting or related field required.
• Experience with MS Dynamics GP and CRM is desirable.
• Strong computer skills, including Microsoft Office Suite (Outlook, Excel, Word) required.
• Strong time management skills, including the ability to manage a high volume of information and various duties simultaneously.
• Excellent customer service skills.
• Strong communication skills and the ability to work with numerous stakeholders from across the organization.
