Position Summary

Neighborhood Student Success Center Engagement Center Assistant

The Neighborhood Student Success Center (NSSC) is an innovative and collaborative organization of experts driving Michigan State University to continually improve the services, practices, and activities for holistic student success. The NSSC promotes academic proficiency, institutional navigation and socio-emotional engagement to promote student success. Our unit is committed to empowering undergraduate students to pursue knowledge, access resources, and develop skills needed for success. Our goals align with the broader institution goals of closing opportunity gaps for underserved students by increasing persistence, retention, and graduation rates, and decreasing time to degree.  The unit reports to the Vice Provost in the Office of Undergraduate Education. The NSSC works closely with Student Life and Engagement and other key units on campus to meet university students’ success goals.

Position Overview 

The Neighborhood Student Success Center (NSSC) Engagement Center Assistant (ECA) provides office support in 1 of 5 Neighborhood Engagement Centers and provides secretarial support to the Neighborhood Director of an assigned center.  

Office Support 50%

  • Know and utilize multi-line phone system.
  • Know and utilize Microsoft Office, Teams, D2L, EAB, ESAF, Zoom, TracyTime, SIS, Digital Sign Generator, 25live, etc.
  • Order and maintain inventory of office supplies.
  • Maintain and track office equipment such as computers, printers, fax machines etc.
  • Work with IT as needed for unit.
  • Facilitate staff moves for summer or office relocations (e.g. Furniture, files, phones, technology, etc.)
  • Onboarding new staff (Computer, phone, supplies, keys and schedule training as needed)
  • Schedule appointments for the Engagement Center Manager and maintain their calendar.
  • Reserve space as needed for events or programming.
  • Answer EC phones and cover the Engagement Center desk as needed.
  • Serve on and assist with search committees for new employees (e.g. Meetings, screenings, interviews, scheduling, travel, etc.

Student Peer Assistant Coordination 20% (3 to 4 per semester)

  • Interview, supervise, coach, train, and evaluate undergraduate student PAs.
  • Review/Approve/Verify Payroll for Payroll clerk using Ultra time.
  • Maintain Tracy time equipment and system for payroll purposes.
  • Create PA work schedule for all engagement centers 2x/year.
  • Assist in planning and implementing monthly meetings.
  • Update training in D2L

Neighborhood Events/Meetings 10%

  • Plan, execute, serve as a representative, and manage logistics for internal and external Neighborhood events and Initiatives.
  • Reserve and prepare meeting rooms and set up audio-visual technology needs.
  • Attend SLE partner meetings and report out as necessary.

Accounting/Travel Coordination 10%

  • Assist Fiscal Officer with budgetary items, i.e. SPB’s, DV’s, Requisitions
  • Reconcile p-card purchases in a timely manner to EBS.
  • Make travel arrangements and reconcile expenses.

  Advertising/Space Reservations 10%

  • Maintain digital signs in the neighborhood (e.g. Field requests for new digital signs)
  • Update signage and promotional materials for each semester
  • Manage the rotation of the undergraduate research posters on a monthly basis.
  • Work with Marketing coordinator to create flyers for neighborhood events.
  • Maintain booking/calendars for EC spaces.
  • Update website as needed

Unit Specific Education/Experience/Skills

Knowledge normally acquired through a high school education; three to five years of related and progressively more responsible or expansive work experience in maintaining accounting ledgers and/or experience in word processing, spreadsheet, database, and/or desktop publishing software. The job may require knowledge of presentation and web page software and technical or medical terminology and/or technical training related to the field of employment; or an equivalent combination of education and experience.
