Opportunity

Results for Development is seeking an Office Assistant to support the efficient and effective management of R4D’s Washington, DC office, as well as provide support to our global team in over ten countries worldwide. The Office Assistant is an in-person position (minimum of 3 days/week) based out of R4D’s Washington, DC office, and reports to the Office Manager/Sr. Executive Assistant.

Responsibilities

  • Participates fully as a member of R4D by contributing, assisting, and participating in projects, activities, and initiatives as requested by management
  • Serve as the face of R4D’s Washington, D.C. office, welcoming external visitors and visiting staff, providing support and assistance.
  • Receive, open, and distribute all mail daily distributing via copier scan to correct person, notify recipients when package has been received.
  • Log FedEx/UPS/DHL deliveries and inform staff of deliveries daily.
  • Ensure that outgoing mail is delivered to the post office, FedEx, or UPS distribution center on a daily basis.
  • Coordinate with R4D’s IT department to ship and receive computers and/or supplies to
  • staff in other R4D offices.
  • Answer telephone calls, transfer callers as needed, check voice mail daily
  • Check email daily and address requests in a timely manner,
  • Communicate with R4D Staff who work from home using email or TEAMs
  • Other duties as assigned.
  • Perform office walk-through each day on 6th and 7th floor to ensure that office common spaces and conference rooms are clean and setup for daily functions.
  • Inform Office Manager of any maintenance needed on R4D assets (water dispenser, ice makers, lights, etc.).
  • Monitor and replenish office and kitchen supply inventory daily, and submit order for supplies on a monthly basis.
  • Monitor conference room calendars for upcoming meetings, assisting in room reservation as needed.
  • Help with conference room set up and breakdown for meetings/office events.
  • Provide basic assistance with conference room A/V technology.
  • Assist with all on site event activities, as required.
  • Ensure that all R4D staff signage is up to date and displayed in all common areas,
  • Manage /grant visitor access in Datawatch.
  • Request updated list of employees from HR on the first day of each month to update staff list and floor plan for the 6th and 7th floors.
  • Clean/clear empty workstations and set-up for new hire workstations when required.
  • Activate and deactivate Datawatch key-fob when required, and perform monthly Datawatch key-fob system check.
  • Produce and place new hire name plate at assigned desk location along with
  • activated datawatch key-fob.
  • Assign and inform IT of new hire desk location for computer set-up.
  • Provide new hire facilities tours, emergency exits and basic orientation to conference room technology set-up and operation.
  • Act as safety warden for DC Office

Qualifications

  • Minimum of a high school diploma or GED.
  • Prior experience in providing administrative and office management support preferred.
  • Demonstrated ability to work independently with minimum daily supervision.
  • Proficiency with the Microsoft Office suite, including Outlook, Word, Excel, and Teams.
  • Great customer service and interpersonal skills, with a service-oriented approach.
  • Excellent organizational and time management skills, with keen attention to detail.
  • Strong problem-solving and basic troubleshooting skills.
  • Ability to lift and/or move materials up to 20lbs.
  • Excellent communication skills, including fluency in both verbal and written English.

$46,818 – $62,424 a year
The target base salary pay range for this US-based position is $46,818 – $62,424 per year. R4D aims to provide an equitable and consistent starting salary for all new hires based on the responsibilities and qualifications required for the position. The full salary range allows for future career and earnings growth, and hiring above the mid-point of a salary range would not be typical for a new employee.
