Overview
An Office attendant/Messanger will provide routine in-house cooking services needed for Jhpiego zonal offices, including tea/coffee cooking, serving it to the staff and office visitors. She/he will facilitate meetings caterings services by serving water and tea for internal meetings as directed by his/her supervisor as the in-house service. In addition, she/he will serve as messenger for courier from department to the other and facilitate the making copies and binding of documents for in-house printing services.
Location: The position will be base in the one of the following district(Muhanga, Rwamagana,or Musanze).
Responsibilities
- Ensure the office is open timely and ensure it is closed after working hours.
- Guide the office visitors to order lunch from the restaurants.
- Oversee office cleaners on day-to-day office cleaning tasks under the supervision of the Program Assistant. This includes ensuring the office washrooms; staff work, kitchen and conference space, office trash/waste, fittings like office windows, glass partitions, and mirrors, are all kept in a neat and tidy condition.
- Oversees the cleanliness of rest room and availability of its consumables such as toilet paper, vim, detergent.
- Assist Program Assistant in arranging for meetings at Zonal office.
- Coordinate with Program Assistant to ensure office maintenance supplies are replenished in a timely manner to avoid shortages.
- Assist the program assistant and the Team to ensure the office tea/coffee room are available and has the required equipment and right standard for tea services.
- Ensure kitchen assets are used responsibly, maintained, and functional for office use.
- Assist Program Assistant with photocopy of office and program materials as guided by Supervisor.
- Ensure the office kitchen is properly managed and used responsibly by staff.
- Assist in the loading and offloading of office supplies and projects materials.
- Ensure appropriate use of office store and prepare store kitchen report.
- Keep the kitchen clean and prepare tea for staff and visitors.
- Serve water and tea/coffee to the participants for in-house meetings as required by staff.
- Execute other tasks as assigned by the Operations and Finance team.
Required Qualifications
- At least a high school diploma in any field.
- At least 2 years of experience in a busy office support service.
- Experience in handling paper binding work and kitchen work.
- Able to communicate in, Kinyarwanda language and knowledge of English and French is desirable.
- Be Rwandan by nationality.
- Ready to start immediately.
- Friendly Attitude.
