Job Summary
The Operations Assistant will support the efficient and effective implementation of operational activities within the organization. This role ensures smooth administrative, logistical, and operational processes, contributing to the overall success of the organization’s programs in Jordan.
Key Responsibilities
1. Administrative Support
• Maintain and organize operational files, ensuring confidentiality and accessibility.
• Assist in preparing and formatting documents, reports, and presentations.
• Coordinate internal and external meetings, including scheduling, minutes, and follow-ups.
2. Logistics Support
• Coordinate procurement processes in compliance with the organization’s policies and donor requirements.
• Oversee inventory management, including tracking and ensuring proper usage of assets and supplies.
• Assist in organizing and monitoring the transportation and distribution of materials.
3. Communication and Coordination
• Act as a liaison between departments to ensure timely and efficient communication.
• Respond to operational inquiries and escalate issues to the appropriate team members.
• Support in coordinating with external stakeholders such as suppliers, service providers, and government authorities.
4. Compliance and Reporting
• Ensure operational activities adhere to organizational policies and legal regulations.
• Assist in preparing and submitting operational and compliance reports to management.
• Monitor and track operational performance indicators.
5. Support to Programs
• Assist in logistical arrangements for workshops, events, and field visits.
• Provide support to program teams in implementing operational plans.
Qualifications and Experience
Education
• Bachelor’s degree in Business Administration, Logistics, Management, or a related field.
Experience
• At least 1-2 years of experience in operations, administration, or logistics, preferably in an NGO setting.
Skills and Competencies
• Excellent organizational and multitasking abilities.
• Strong communication and interpersonal skills.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Knowledge of logistics and procurement processes in NGOs is an asset.
• Fluency in Arabic and English (written and spoken).

Additional Requirements
• Flexibility to travel within Jordan if required.
• Knowledge of local laws and regulations related to NGO operations is a plus.
