As Operations Assistant you will provide administrative support to SG-AFNR activities. The incumbent will provide administrative support in project processing activities related to loans, grants, and technical assistance (TA), and database management.
You will:
- Coordinate supervisor(s) schedule, schedule meetings with internal and external stakeholders
- Process missions, archive related documentation (travel requests, expense reports)
- Coordinate team activities/operations and submissions. Provide support to staff and consultants, as needed.
- Ensure accurate updating of event’s database, including knowledge dissemination activities.
- Support the preparation of necessary loan/grant and technical assistance (TA) documents (concept note, reports and recommendation of the President, TA reports, project and TA completion reports) and ensure that these documents are in accordance with the latest ADB template and Handbook of Style and Usage and procedures.
- Coordinate and monitor processing milestone events of assigned loan/grant/TAs and report any delay in the processing of these documents to supervisors.
- Support the team in related operation activities such as selection of consultants, processing of claims, contract variations, internal memos and drafting of TA and project completion reports, and back-to-office reports under the guidance of the international staff and/or project officer.
- Coordinate and help document meetings
- Using available IT tools and ADB apps, collect, compile and analyze relevant information and data related to the team/office/department to produce routine and/or ad hoc statistics/reports as instructed.
- Provide back-up support to the Senior Operations Assistant in the latter’s absence or relieve other operations assistant, as necessary.
- Perform other duties that may be assigned as reflected in the incumbent’s workplan.
Qualifications:
You will need:
- Bachelor’s degree in finance, business administration, public administration, or other fields combined with relevant experience.
- At least 5 years relevant professional experience in multilateral organizations.
- Advanced computer skills with sound knowledge of common word-processing, spreadsheets, and proficiency with computer-based applications.
- Good interpersonal and cross-cultural skills with ability to liaise and work effectively with individuals from different professional and cultural background.
- Demonstrable experience in working across multiple teams and organizing events
- Excellent oral and written communication skills in English
