Position description

The Women’s Environment and Development Organization (WEDO) is a women’s global advocacy organization based in New York. Officially founded in 1991 in the run-up to the Earth Summit (UNCED, 1992), WEDO, a champion for women’s rights, has built a reputation as a trailblazer in promoting human rights, gender equality and the integrity of the environment, notably in sustainable development. 

 

Position Summary  

The Operations Associate plays a crucial and dynamic role in supporting the day to day operations of the organization, while also fostering staff and organizational growth within WEDO. They will support functions that promote a positive work culture and facilitate the implementation of WEDO’s mission. This role offers excellent growth potential. 

 

Responsibilities Include, but are not limited to: 

Human Resources (10%): 

  • In collaboration with external HR team, support processes around hiring and transition, ensuring compliance with policies and collaborating with relevant staff members; 
  • Support yearly contract coordination and renewal processes for global contractors; 
  • Support external HR team with onboarding, orientation, and annual mandatory compliance training for all staff and full-time contract employees; 
  • Circulate timesheet submission reminders and edit time off in HRIS system (PTO, comp time, etc)  
  • Revise staff handbook policies and procedures as needed, conducting periodic reviews; 
  • Assist third-party accounting and HR partner with benefit open enrollments, year-end 1099s and W-2s; 
  • Apply for US state registrations for employees in new states. 

 

Board Support (10%): 

  • Serve as the administrative liaison to the Board, coordinating meeting schedules, travel arrangements, and logistics for both virtual and in-person meetings; 
  • Establish efficient systems for knowledge sharing between the WEDO team and the Board, ensuring up-to-date board folders; 
  • Provide support to the Executive Director in board meeting preparation, including agenda setting and slide deck preparation. 

 

Team Building (10%): 

  • Coordinate weekly staff meetings and quarterly team culture meetings; 
  • Assist with the coordination of staff retreat, professional development opportunities, and annual organization-wide trainings; 

 

Internal Operations and Support (35%): 

  • Monitor and manage general inboxes and mail, redirecting donor and other high-priority requests to the appropriate team member as necessary; 
  • Oversee IT systems functionality, providing support for license management and renewals; 
  • Administer and manage software and online tools, such as Asana, Dropbox, and Slack, to promote an accessible and engaging remote work environment; 
  • Support the Budget & Grants Manager and Executive Director with the annual WEDO audit and any additional project or grant audits as needed. 

 

Travel support (35%) 

  • Liaise with program staff, external stakeholders, and travel agent to book extensive travel and hotel accommodations for global conferences and events. 
  • Support program staff in securing conference badges, registration, and/or accreditation.

  • Ability to prioritize and re-prioritize workload, with a proactive approach; 
  • Understanding of organization development, ensuring compliance, and fostering a healthy organizational culture; 
  • Skilled in building and sustaining relationships with teams and external stakeholders; 
  • Excellent written and verbal interpersonal and communication skills; 
  • Ability to maintain confidentiality and discretion; 
  • Ability to anticipate and adapt to the need for changes, develop new tactics to enhance employee engagement and retention; 
  • Strong critical thinking skills to address issues and make decisions in the best interest of the organization; 
  • Self-directed and nimble – you don’t need daily direction from a manager to know how to spend your time. You are an “expert learner” and are naturally curious and good at figuring things out. 
  • A positive attitude and sense of purpose– you know your value and find serving in a supportive role rewarding. 
  • Good with IT, systems and project management; including effective tools to support a remote team.  

 

Desired Experience 

  • A combination of education and experience equivalent to  at least five years’ experience in a strategic operations, people or project management role  in a nonprofit environment, with a focus on within human rights, gender equality, environment and/or social justice a plus; 
  • Experience within  with social justice/environmental/human rights organizations; 
  • Experience working with Boards and supporting Board meetings and processes; 
  • Experience working with and supporting diverse, international teams.
