The Smith Family is a children’s education charity that helps young Australians experiencing disadvantage to create better futures for themselves through harnessing the power of education.

VIEW (Voice, Interests and Education of Women) Clubs of Australia (VIEW) is a unique national women’s organisation and support network bringing together women to enjoy social activities, develop skills, make connections and participate in networking events, while also fundraising, supporting and advocating for the education of young Australians experiencing disadvantage. VIEW was founded by The Smith Family in 1960. VIEW members exclusively support The Smith Family and has 14000 members / 280 Clubs located in all states of Australia.

We are seeking an experienced Operations Coordinator to join our organisation. Reporting to the National Manager, VIEW and working alongside dedicated, energised, and passionate team members, this role ensures the day to day and strategic operation of VIEW Clubs of Australia. The Operations Coordinator will provide administrative and general management aligned with VIEW nationally developed policies and procedures and those of The Smith Family – ensuring effective and efficient services for internal and external stakeholders throughout Australia, helping specifically with general day to day operations.

About our role

You will be responsible for:

  • Providing high quality customer service for the VIEW Clubs and members.
  • Participating in VIEW strategy review, development and implementation.
  • Development and delivery of training materials for a wide audience (eg guides, manuals) using effective training tools and techniques
  • Together with National Manager develop VIEW budget, including Convention budget and reforecasting, analyse financial records (P&L), perform financial analysis and reports as required.
  • Manage VIEW annual audit of all financial records for Clubs and Councillors.
  • Oversee the planning, development, marketing, promotion, budgeting, logistics and execution of VIEW National Convention (biennial event). Provide financial analysis including event attendees reports to venues and key stakeholders.
  • Support planning, managing and monitoring VIEW key projects and events. Preparing project documentation and coordinating activities. Developing timelines to drive tasks to successful completion.

About you

As well as passion for community, you will bring the following:

  • Proven high level experience in office administration procedures and skills
  • Experience in managing projects, particularly in the area of business improvement
  • Proven written and spoken communication skills and exceptional interpersonal skills
  • High level customer service and organisations skills
  • Intermediate/Advanced MS Office skills (Word/PowerPoint/Excel)
  • Experience in assisting with Budget preparation and financial management
  • Experience in creating correspondence, writing and updating website copy
  • Ability to manage documentation, and work with accuracy in creating and implementing administration documents
  • Managing operational budget and confidence and numerical aptitude
  • Bachelor Degree or equivalent experience
  • Have or willing to obtain an employee Working With Children’s Check
