UNDP Mongolia is looking for a dynamic and a client-oriented Operations intern to work with the UNDP Administrative Assistant and the Operations team to further support the daily operations of UNDP Mongolia. UNDP Mongolia Operations Intern will play a supporting role in providing administrative support to Country Office (CO) operational activities in areas of office maintenance, asset management, logistical services, micro-purchasing, fleet management, record-keeping, and event organization.
This is the perfect position for someone who is a team player, eager to learn and wants to gain experience in operations to help support the programme team and ultimately contribute to the works of the Country office. You don’t have to be a development professional – that is something we can teach and help you ‘grow into’. What you will have to bring is a pro-active approach, professional curiosity, and willingness to spend time to understand the backbone that drives UNDP Mongolia forward. To do your job effectively, we require strong interpersonal skills in English and Mongolian languages to work with diverse teams from different backgrounds.
Under the overall guidance and supervision of the Administrative Assistant, the intern is expected to provide a day-to-day support to the UNDP Country Office Operations and Programme Team. Summary of key functions are as follows:
- Provide support to the maintenance of office administrative related documents, files and records as per corporate guidelines including archiving, both online and offline
- Provide support to payment processing activities and follow ups needed as per guided by the supervisor
- Provide support to travel arrangements including ticket purchasing, hotel reservations, preparation of travel authorizations and DSA (daily subsistence allowance) calculation
- Provide support to fleet management including receiving and managing carpooling requests, keeping accurate log of maintenance schedules, follow up on its timely completion and assist to obtain/ensure annual insurance where applicable
- Provide support to coordination of planned events, such as workshops, retreats, trainings, seminars, for the country office, different projects, and other UN entities where applicable. The tasks include arranging the needed logistics and coordinating with relevant stakeholders to ensure smooth administration.
- Provide support to asset management activities including tagging of all furniture/equipment upon receipt from the supplier, update of office asset ledgers for new and separating colleagues, monitoring and recording of asset movements and assist with any other asset related tasks
- Provide any other support needed to the operations team, as per guided by the supervisor.

Education:
Candidates must meet one of the following educational requirements:
- Be enrolled in a postgraduate degree programme (such as a master’s programme, or higher);
- Be enrolled in the final academic year of a first university degree programme (such as bachelor’s degree or equivalent);
- Have recently graduated with a university degree (as defined in (a) and (b) above) and, if selected, must start the internship within one-year of graduation;
- Be enrolled in a postgraduate professional traineeship program and undertake the internship as part of this program.
Field of study:
Social sciences, Business management, Public administration, Communications, International Relations and/or other relevant fields.
Experience:
Applicants are not required to have professional work experience but experience working in administrative areas are highly desired.
Other:
Extracurricular activities that are demonstrative of their interests in international development (i.e., gender equality, human rights, etc.) and/or their skills in administrative and operational processes.
Language:
- Excellent command of English and Mongolian, both oral and written
Internship Conditions:
- This internship assignment can also be completed as part of national service obligations or a postgraduate professional traineeship program.
- UNDP will provide a stipend in the monthly amount of USD 223.07 (in-person rate) in accordance with the provisions of the UNDP Internship policy. Except for the stipend, all other expenses connected with the internship will be borne by the intern or her/his sponsoring entity.
- Interns are expected to work full time, but flexibility is allowed for education programmes;
- Interns are not eligible to apply for, or be appointed to, any post in UNDP during the period of the internship;
- Interns are not considered staff members and may not represent UNDP in any official capacity;
- Selected Interns must be able to share proof of education enrolment and/ or graduation, medical/ health and life/accident insurance, valid for the location in which the internship will be carried out and be able to provide insurance documentary proof at the time of their selection;
- UNDP accepts no responsibility for costs arising from accidents and/or illness or death incurred during the internship;
- The purpose of the Internship Programme is not to lead to further employment with UNDP, but to complement an intern’s studies. Therefore, there should be no expectation and guarantee of employment at the end of an internship.
