OPERATIONS OFFICER

Under the supervision of the finance manager and in close coordination with the executive director and programme team, the operations officer will be responsible for supporting Synergy’s operations including following up operational and administrative tasks related to Synergy team and consultant and vendor invoices, contracts and travel, and any other Synergy-specific tasks related to human resources and administration. This is a full-time remote consultancy position. The daily rate for this consultancy will be in the range of 150-200 USD depending on experience and qualifications. The consultant must be based in a time zone from US East Coast time through Eastern European Time.

Roles and responsibilities:

  1. Initiating contracting process including finalising contracts, obtaining signatures, tracking and reviewing invoices and contract payments.
  2. Oversee/manage travel logistics and compliance with Synergy travel procedures, travel and security plan and provides support for site visits or travel by Synergy personnel or external consultants.
  3. Organise all arrangements and logistics for international events, including international and national travel (air and local at meeting destination), coordination on visa-requirements with participants, and accommodation for Synergy and partner participants, meeting room venues, interpreters and interpretation equipment, baby sitters and assisting with arrangements for meals and sustenance.
  4. Lead on procurement of items and services for Synergy for Justice operations and programmes in compliance with Synergy’s procurement policies and procedures.
  5. Maintain Synergy trackers related to subscriptions, HR policies, consultants, procurement, and personnel.
  6. Attends and actively participates in team meetings, and
  7. Any other reasonable requests relating to Synergy administration needs.

Required Qualifications:

  1. At least 3 years experience in procurement processes with an international NGO.
  2. At least 3 years experience in overseeing contracting processes in an international NGO.
  3. At least 3 years experience overseeing travel and logistic processes in an international NGO.
  4. Excellent skills in preparing presentations and spreadsheets (Excel, PowerPoint, Canva, or other applications).
  5. Experience working with remote teams and with people of different nationalities.
  6. Strong grasp of remote working applications and ability to quickly learn new technology.
  7. Excellent attention to detail.
  8. Experience working with sensitive information and maintaining confidentiality.
  9. Ability to work independently with minimal supervision.
  10. Fluency in written and verbal English.
  11. Excellent communication skills.
  12. Ability to travel internationally.
