Job Overview: The Partnership Coordinator will serve as the linchpin of our consortium’s collaborative efforts, ensuring seamless coordination and effective communication among all partner organizations. This role is critical in driving success by managing every aspect of the contracts’ life cycle—from inception to completion. The Partnership Coordinator will be responsible for establishing and maintaining robust subcontract relationships, providing strategic support to ensure the timely and successful delivery of project outcomes, and ensuring compliance with all reporting requirements.
Major Responsibilities:
Partnership Management:
- Establish and maintain strong, collaborative relationships with all partner organizations, fostering open communication and trust.
- Serve as the primary point of contact for partners, addressing inquiries, concerns, and requests in a timely and professional manner.
- Facilitate regular meetings, both virtual and in-person, to ensure effective information sharing, decision-making, and progress tracking.
- Develop and implement strategies to strengthen partner engagement and participation in project activities.
Contract Management:
- Manage the full life cycle of subcontracts, from inception to closeout, ensuring adherence to contractual terms and conditions.
- Negotiate contract terms, monitor deliverables, and track milestones to ensure timely and successful project completion.
- Maintain accurate records of all contract-related documents and communications.
- Collaborate with finance and program staff to ensure timely and accurate invoicing and payment processing.
Project Coordination:
- Develop and maintain detailed project plans, timelines, and work breakdown structures.
- Track project progress, identify potential risks and challenges, and implement mitigation strategies.
- Facilitate effective communication and coordination among partners to ensure smooth execution of project activities.
- Ensure that project outcomes are achieved on time, within budget, and to the satisfaction of all stakeholders.
Reporting and Compliance:
- Prepare regular progress reports for internal and external stakeholders.
- Collect and review invoices/billings from partners to reimburse for their project performance and outcomes.
- Ensure compliance with all reporting requirements, both internal and from our donor.

Indirect Reporting: Senior Asylum Services Manager, Leadership Team
Other Internal and/or external contacts:
Internal: Senior Asylum Services Manager, Grants Team; Finance Team; other IRC Washington Program Teams
External: Consortium Partners, Asylum Services’ speaking organizations, migrant and refugee communities, other refugee services and resettlement agencies in WA.
Job Requirements:
- Relevant degree (in business administration, public administration, or a related field) or equivalent experience
- Lived experience as a refugee or immigrant is highly preferred.
- 2-3 years of experience in partnership or contract management.
- Demonstrated track record of building collaborative relationships and successfully managing multiple projects.
- Excellent communication, negotiation, and interpersonal skills.
- Proficiency in project management software and strong analytical skills.
- Experience in the non-profit sector and grant-funded programs serving migrant or refugee populations is highly preferred.
- Demonstrated ability to work as a team member in a multi-cultural environment
- Valid driver’s license
