About the Institute
Located on Gadigal and Bidjigal land (Randwick NSW), Black Dog Institute is the only Medical Research Institute in Australia to investigate mental health across the lifespan, our aim is to create a mentally healthier world for everyone. The Role
The purpose of this role is to provide strong administrative support and coordination for the wider People & Culture (P&C) team. This role is instrumental in supporting the administration across various P&C functions including, recruitment, payroll, operations, learning and development and supporting the P&C business partners. This role requires a demonstrated proactive approach to administration and coordination with a view to building trusted relationships with all internal and external stakeholders.
Duties & Responsibilities
Talent Acquisition Administration
- Effectively use ELMO to move candidates through the recruitment cycle
- Communicate with candidates to help facilitate the recruitment process
- Management of the recruitment inbox
Payroll Administration
- Payroll Administration
- Record and maintain employee records on ELMO and payroll transactions.
- Act as a first point of contact for payroll queries.
- Assisting with payroll administration and reports as required.
Onboarding and Offboarding
- Coordinate new hire onboarding activities, including the registration of new starters into the induction and equipment setup where applicable.
- Assist with the offboarding process ensuring any necessary paperwork is completed.
Employee Relations
- Serve as a first point of contact for employee enquiries regarding P&C policies, procedures and benefits.
- Maintain a high level of confidentiality while managing all information and issues including those that are sensitive.
- Help organise and facilitate employee engagement activities and events
Learning & Development
- Promptly attend to the L&D inbox and manage the L&D calendar
- Coordinate L&D workshops (room bookings, participation list)
- Absorb Administration- session approvals, external training record upkeep, upload & update user profiles as needed)
- Coordinate Brunch and Learn invite with facilitators
Continuous Improvement
- Proactively identify opportunities for process improvements and assist in the development of new P&C initiatives.
- Stay updated on HR trends and best practices
Skills & Experience Required
- Previous administration or customer service experience (preferably within HR)
- Demonstrated superior customer service skills, high degree of empathy and ability to always represent Black Dog Institute in a professional manner
- Excellent interpersonal and relationship building skills, as well as ability to build rapport quickly and sensitively with people from diverse backgrounds.
- Excellent verbal and written communications skills.
- Demonstrated computer literacy, including Microsoft Office, and intermediate Excel skills.
- Excellent database and data entry skills, with experience in CRM databases.
- Solid attention to detail and a high level of accuracy
- Proven skills in time management, organisation, and prioritisation of competing deadlines.
- Ability to contribute as proactive team member and ability to work well with others.
