People Capability Culture & Administration Assistant

Purpose:

  • The People Capability Culture & Administration Assistant (PCCA Assistant) will provide PCC and administrative support to ensure smooth running of the office and effective office operations. S/he is accountable for performing a wide range of PCC and administrative duties including but not limited to; recruitment, managing personal file, issuing letters, PRs, and drafting contracts.

Engagement:

  • Draft letters in Arabic, Kurdish, English as per Country Office needs and as per the supervisor’s request.
  • Process office and guesthouse rent fee as per the lease agreements.
  • Prepare PRs related to PCC and Admin department as required.
  • In collaboration with Logistics Team, track both office and guest house requirements including Office supplies, stationary, electricity, services and raise purchase request before supplies run out.
  • In collaboration with the Logistics Team organize WFWI ID and business card printing for employees as instructed by supervisor.
  • Manage addition and deletion of staff with the health insurance provider on timely manner, in coordination with them, share employee health insurance ID with the new joiner/s.
  • Ensuring the office is clean, tight, office supplies are available all the time.

Delivery:

  • Facilitate and follow up on background check and keep their records in the staff’s personal file.
  • Draft job advertisements and post jobs locally, screen CVs as directed by PCCA Manager, arrange appointments for written test and interviews, and attend interviews as per supervisor’s advice.
  • Draft provisional offer letter, confirmation offer letter, employee contract / service agreement and prepare extensions.
  • Maintain contract tracking and alert managers and direct supervisor of upcoming contract expires.
  • Keeping an accurate and up to date filing system for employees, Babmoo records, and contractor both in hard and soft copy.
  • Register new employees to relevant Bamboo system and follow up with related departments for the issuance of WFWI email address and intacct accounts.
  • Facilitate the onboarding of new hires, including communication with the relevant team members such as the logistics team and the supervisor about the new arrivals, and ensure that all new hire documentation is completed and processed and archived in PCC files,
  • Draft employee probation confirmation at post letters,
  • Updating the HR system (Bamboo) on daily and weekly basis to have complete and accurate information for the team members.
  • Answer staff queries related to leave requests and extract monthly leaves report from BambooHR.
  • During the offboarding of employees, share the exit interview form and making sure the form is collected before the staff’s departure.

  • Skills and Qualifications:

  • Education: Bachelor’s degree or Diploma

  • Years of experience: Minimum 1 years’ experience in the field of human resources and admin preferably in the NGO sector.
  • Excellent written and verbal English, Arabic and Kurdish skills.
  • Strong interpersonal communication skills.
  • Strong organizational and administration skills.
  • Strong understanding of confidentiality as it relates to Human Resources.
  • Good computer skills (Word, Excel, Outlook and email applications).
  • Ability to priorities and handle multiple tasks.
  • Ability to work as a team and willingness to improve.
  • Have strong work ethic, time management skills, and be able to work under tight deadlines.
  • Approachable, empathetic and detail-oriented

Physical Demands:

  • Long hours work on the laptop.
