JOB PURPOSE

To perform and apply appropriate processes, procedures and policies that support the efficient and effective procurement services.

ORGANIZATIONAL CONTEXT

These jobs are found in Headquarters (HQ), Regional Bureaux (RBs) and Country Offices (COs), and report to a Head of Unit, Chief, or Procurement Officer.
Job holders at this level are responsible for completion of a range of procurement processes and activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend straightforward courses of action to staff, and may allocate tasks and technically support other staff.

KEY ACCOUNTABILITIES (not all-inclusive)

  1. Support procurement programs and operational activities, (e.g. issue tenders, evaluate offers and negotiate/award contracts), following standard processes and contributing to successful procurement of food and non-food commodities or services.
  2. Assist with the compilation and review of Country Office procurement plans
  3. Liaise with internal counterparts to support the alignment of procurement activities with wider programmes and ensure a coherent approach to meeting food assistance and related needs.
  4. Support with the establishment of relevant Long-Term Agreements or contracts
  5. Contribute to the compilation and analysis of data to provide recommendations for process improvement.
  6. Coordinate and monitor the delivery of procurement requisitions, verifying receipt and inspection of deliverables, and performing follow up actions to ensure goods and services are delivered on time.
  7. Support market research exercises and present information in standard formats, to enable informed decision making and consistency of information presented to the stakeholders.
  8. Update, manage and maintain relevant databases and records, to ensure the information is accurate, organize, and available for others to access, and supports reporting requirements.
  9. If required, follow standard emergency preparedness or response practices to support WFP to quickly respond and deploy food and non-food resources to affected.
  10. Perform other related duties as required.

STANDARD MINIMUN QUALIFICATIONS

Experiences:

  1. Minimum 5 years relevant work experiences
  2. Has worked on procurement activities
  3. Experience conducting analyses and developing reports
  4. Experience working with suppliers or other third party on day to day basis.

 

Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.

 

Language: Fluency in English in both oral and written communications.

OTHER SPECIFIC JOB REQUIREMENTS

  1. General knowledge of public procurement principles and information management best practices, techniques, and processes with some understanding of the basic theoretical background
  2. Strong written and oral communication skills, including substantive analysis and report writing skills.
  3. Knowledge of, or the ability to quickly assimilate, UN/WFP specific processes and systems.

TERMS AND CONDITIONS

You will be eligible for:

  • Annual Leave 1.5 working days per month
  • Sick Leave up to 12 working days per year
  • Maternity and Paternity leave as applicable
  • Medical insurance cover for you and your recognize dependents. Your dependent childrent will be covered until the age 21 or until the age of 25 when they continue their studies.

  • Social Security – You will be eligible to a lump sum of 8.33% of the base monthly remuneration in lieu of pension added to your basic salary.
