Job Description
Procurement and Supply Management
- Implement procurement activities in accordance with MAG’s Procurement Policy and Handbook, ensuring compliance across all operations.
- Coordinate effectively with internal departments, suppliers to ensure smooth procurement processes, including international purchases and timely customs clearance, import/export, and tax exemption approvals.
- Coordinate small-scale and advanced procurements, ensuring proper order processing, delivery monitoring, and technical conformity of items in consultation with requisitioners.
- Assist in Drafting, publishing, and archiving tender documents; lead tender processes when required and conduct market consultations such as Calls for Interest and Calls for Tender.
- Obtain relevant licences and permissions for the procurement and use of sensitive equipment.
- Conduct market analysis and supplier sourcing, support applicants in developing technical specifications, and regularly update supplier lists and price databases.
- Maintain constructive relationships with suppliers, validate invoices, and coordinate with the finance department to schedule payments in line with cheque and cash office timelines.
- Provide regular updates of procurement activities through continuous updates of the Procurement Tracker
- Ensure proper documentation and archiving of procurement files, including receiving, dispatch, and delivery records, and report any quality issues.
- Ensure suppliers comply with MAG’s key policies, including safeguarding, anti-corruption, anti-bribery, anti-human trafficking, and anti-slavery.
- Monitor supplier quality against specifications, document supplier visits, and manage disputes arising from signed contracts.
Asset/Inventory Management (Upon Request)
- Support Asset and warehouse staff in ensuring that MAG Iraq master asset register is updated when procuring and disposing of assets.
- Ensure that inventory under supervision (Erbil & Erbil Logistics Center) is continuously maintained and all movements are supported by appropriate documentation in line with MAG Inventory Management policy.
- Monthly reporting and analysis on inventory under supervision
- Assist in the managing of the Asset disposals in country while making sure to have updated records for each Asset disposed.
Reporting
- Maintain and update the Procurement Tracker to monitor ongoing procurement activities.
- Maintain the Contract Monitoring tool to track obligations, timelines, and deliverables.
- Maintain and update the inventory Tracker to monitor ongoing warehouse activities.
- Ensure supplier due diligence and regularly update the supplier database.
General Responsibilities
- Work in alignment with MAG’s core values and act as an ambassador for the organization.
- Participate in relevant meetings and contribute to fundraising initiatives where appropriate.

Person Specification Essential Experience
- Bachelor’s Degree Preferably in Logistics or Equivalent College Level Qualification In Technical Engineering And/or Computer Science.
- Minimum 2 years of work experience in Logistics and Procurement management in Total and 01 Year in Humanitarian Sector at least will be a Plus.
Essential Skills and Knowledge
- Strong self-organization and ability to work independently as well as collaboratively within a team.
- Proven supervision skills with the ability to motivate and manage a small team effectively.
- Good literacy, numeracy, and IT proficiency (e.g., Microsoft Word and Excel).
- Excellent written and spoken English communication skills.
- Excellent written and spoken Kurdish and/or Arabic communication skills.
- Ability to maintain clear and accurate record-keeping systems for supply chain and asset management.
- Strong verbal and written communication skills with clarity and credibility.
- Effective negotiation skills.
- Valid driving ability.
