The Opportunity
Position Overview
As the Program Administrator Coordinator, you will be responsible for the creation, coordination and implementation of program administrative operations. You will report to the Senior Manager, Strategic Operations to execute and ensure the success of program administrative operations.

We are looking for someone who is detail-oriented, organized, comfortable working in a team setting and confident leading multiple projects at once with strong administrative competencies and alignment with the overall mission of our organization. This individual should be passionate about improving the lives of youth within communities and advancing STEM equity through philanthropy.

Position Details

  • Contract Type/Term: Full-time, Indefinite
  • Hours of Work/Schedule: 35 hrs/week

  • Start Date: April 2024
  • Job Location(s): Toronto, 71 Regent Park Boulevard + Remote Work
  • Reports To: Senior Manager, Strategic Operations

Major Duties and Responsibilities (including but not limited to)

Program Administration

  • Co-develop forms, processes, and systems for participant intake, profile updates and screening
  • Work with program teams to ensure effective implementation of participant intake process, profile updates and administration
  • Work with programs team to ensure appropriate and effective telecommunication lines (phone and text messaging)
  • Collect, organize, and securely file hard copy paperwork, forms and other sensitive documentation in Visions of Science headquarters

Special Events & Initiatives

  • Support administration and coordination of special events
  • Recruit event volunteers in line with event logistical/coordination needs and objectives
  • Oversee team of coordinators, leads, and volunteers to implement special events and initiatives

    • Proficient in MS Word, MS Excel, Google Drive
    • Experience with data management an asset
    • Outstanding verbal and written communication skills

Experience & Expertise

  • Education and Training
    • Candidates who are interested, pursuing or have completed a field of study related to STEM, education, social work, or child and youth care are preferred
  • Experience
    • A minimum of one (1) year of administrative experience
    • Leadership experience in community development projects focused on children and youth from low­-income/marginalized communities
    • Documented experience in event management, office administration, and staff management
    • Demonstrated experience working with diverse teams
  • Additional Asset(s)
    • Lived experience in low-income and racialized communities
    • Require minimum supervision and have the ability to work independently and in a team environment

Compensation

Starting Salary: $46,230 – $47,617
Comprehensive benefits package including: extended health and dental; Group Registered Retirement Savings Plan (GRRSP) matching contributions; paid vacation plus 2 weeks paid office closure for winter holidays; “Flexible Fridays” year round
