Job Summary:

The Program Coordinator is responsible for the administrative planning, coordination, and support of activities or functions related to the Graduate Program.  The position provides professional and administrative skills of a complex and confidential nature, assisting the Director of a variety of diversified administrative, supervisory, and financial functions.  The position assists in student recruitment, enrollment, organization of classes, academic advising, monitors student progress, facilitates graduation and other related duties.   

 

Position may require occasional evening and weekend duties as well as limited travel to education meetings and recruitment purposes.

 

Major Responsibilities / Duties / Critical Tasks:

  • Supervise graduate students employed as research assistants and teaching assistants.
  • Coordinates administrative activities of the Graduate Program. 
    • Active in the recruitment of qualified students and makes necessary arrangements for efficient interview and selection process. 
    • Coordinates admissions, registration, and orientation for new students. Manages the appointment and processing of employee records for new students.  Responsible for orientation of new resident employees.
    • Responsible for coordination and timely completion of reports and other forms from internal and external agencies regarding the Graduate Program.
    • Coordinates administrative activities for Financial Aid Committee, Admission Committee, Curriculum Committee membership and meetings.  Gathers information and prepares reports for program analysis. 
  • Coordinates administrative activities of graduate teaching program.  Serves as liaison of the program between UT Tyler campuses. 
    • Active in marketing and recruitment of students from undergraduate and graduate programs. 
    • Monitors and submits SACS required documents to include degree plans, admission to candidacy and petition for grades. 
    • Enters course grades as needed. 
    • Coordinates review/evaluation process for all programs within their responsibilities. 
    • Distributes information related to curriculum, course scheduling and registration, fees, books, course information, assignments, and similar items.  Informs prospective graduate students and the public on eligibility for admission, registration process, and program requirements.  Interacts frequently with students, faculty, and staff and outside agencies.  Gathers information and prepares reports for program analysis. 
  • Administers graduate courses including scheduling, set up in Canvas, enrollment, registration, grade submission and course assessment administration. 
  • Responsible for ensuring compliance with degree granting institutional rules, procedures, regulations, and accrediting bodies.  Serves as primary liaison between department, education sites, and human resources to assure compliance with policies and procedures of institution. 
  • Processes travel arrangements and employee reimbursements.
  • Maintains web pages for the Graduate Program.
  • Organize students’ seminar and workshop series.
  • Other duties as assigned.

Qualifications

 

Required Education / Experience:

·         Bachelor’s degree in business administration, education or a related field required.  Master’s degree preferred.

·         3-5 years’ experience managing/coordinating an educational program.

·         Experience in lieu of education may be substituted.
