Role of the Program Coordinator: The Program Coordinator (PC) is responsible for supporting and coordinating the implementation of donor-supported programs in line with SEED’s mission and values, ensuring the achievement of goals, objectives, and targets. The PC supports their supervisor, the Program Manager, in planning program activities, maintaining work plans, and ensuring smooth day-to-day operations across the grant life cycle.  Key responsibilities include assisting with program implementation and compliance with donor regulations; maintaining accurate and up-to-date program files, records and reporting systems; and tracking deadlines and deliverables to ensure high-quality and timely internal and external reporting. The PC coordinates with different departments and units including procurement, logistics, communications, MEAL, and the relevant technical teams, enabling routine and timely coordination. The PC also plays a key role in organizing meetings and events, and contributes to the development of reports, proposals, and program materials.

 

 

Specific Tasks:

Support Program and Project Implementation (60%)

• Assist the Program Manager with program planning and implementation across the full program cycle.
• Support grants management, including creation and timely maintenance of electronic and hard-copy filing systems, and conduct periodic audits of files to ensure accuracy.
• Assist in updating the work plans and track progress towards programmatic targets, ensuring any challenges are immediately flagged.
• Schedule and organize meetings/events, create and maintain agendas, and prepare and circulate meeting minutes.
• Ensure that program procurement is in line with SEED’s policies and donor regulations.
• Working closely with the program management team and SEED’s technical teams, ensure implementation of effective ways to provide high quality interventions.
• Collaborate with internal departments to implement effective strategies aimed at improving safety and reducing harm, with a focus on raising awareness, advocacy, and strengthening local government capacities.
• Prepare grant launch, management and closing meeting agendas, sharing relevant documents.
• Support preparation of spending plans if required.
• Prepare for and participate in monthly budget versus actuals (BvA) meetings if required.
• Support signature and approvals by management.
• Support the drafting of documents and policies as required.
• Develop project documents and planning tools.
• Work closely with SEED’s management team to ensure compliance with SEED policies, program and grants management procedures, and donor regulations.
• Support the development of concept notes, proposals, and modifications.

Reporting (20%) 

• Maintain a list of reporting deadlines for the program and ensure that the PD and Reporting Coordinator is aware of any changes
• Coordinate the report drafting process, including the creation of a Gantt chart, and collaboratively securing time for all reviewers and contributors
• Lead on the provision of content for quarterly and final program reports, following up with relevant implementing teams to collect inputs and ensure that data is accurate.
• Support the Program Manager in collecting, analyzing, and presenting achievements for annual and organizational reporting.

Communications and Outreach (15%)

• Support on the development of communications and awareness materials including success stories and social media communications.
• Assist in campaigns and events as per need.

Other Responsibilities (5%)

• Participates in all training instructed by the supervisor.
• Performs other duties as necessary, as assigned by the supervisor.
• Carries out the duties respecting SEED Code of Conduct and policies and participates in training and awareness raising (COC & Safeguarding policies).
• Contributes to the creation and maintenance of a fulfilling and protective environment.

• Minimum of 2 years of relevant experience; experience in Iraq is considered an asset.
• Master’s degree relevant for development work, preferably related to gender studies, human rights, international development, law, social work, social sciences or other relevant areas.
• Experience in international development or humanitarian settings working with survivors of violence. Experience on human rights, child protection, and gender will be considered an asset.
• Excellent communication, interpersonal skills, and cross-cultural abilities.
• Strong ability to work independently, including the ability to multitask, prioritize competing tasks, and manage time effectively.
• Strong ability to draft donor reports.
• Ability to work in a stressful setting and adapt quickly to changing environments.
• Well-organized, self-motivated, and ability to work in a team.
• Fluent in English (native speaker preferred); Arabic and Kurdish language skills are an asset.
• Willingness to live in KRI.
