POSITION RESPONSIBILITIES

This program coordinator provides support for the newly created Einstein Learning Communities Program (ELCP). Reporting to the assistant dean for learning communities, this individual will help coordinate the recruitment of ECLP faculty, assignment of the medical students into an appropriate group, and will coordinate the ongoing curricular and advisory activities of the program once it formally launches. The program coordinator will also be the first point of contact when issues arise for students or ELCP faculty.

  • Serve as liaison for Einstein medical students, ELCP faculty, and the Assistant Dean for Learning Communities
  • Assist the Assistant Dean for Learning Communities in the development of all new processes for the ELCP.
  • Coordinate all ELCP curricular and advisory functions, including assisting ELCP faculty in scheduling 1:1 meetings with students
  • Coordinate with the “Becoming a Physician” (BAP) course leadership and administrate staff to arrange curricular activities delivered within the ELCP
  • Coordinate with the Clinical Skills Center staff to ensure space is reserved for LC curricular activities in the Becoming a Physician Course
  • Serve as a central, on-site resource for all in-person, phone, and e-mail communications regarding ELCP for medical students, BAP course leaders, ELCP faculty, and other health systems affiliates.
  • Coordinate the ELCP clinical experiences including coordinating with clinical site representations (nursing unit managers and clerks)
  • Coordinate ELCP extracurricular functions
  • Assist in arranging transportation for ELCP students and faculty for ELCP clinical experience activities.
  • Assist with scheduling meetings for the Assistant Dean for Learning Communities, and any meetings pertaining to the ELCP.
  • Assist the Assistant Dean for Learning Communities and BAP course leadership with organization of educational sessions in the Learning Management System.
  • Submit requisitions for supplies and services using the online ordering system.
  • Manage petty cash and submitted requests for reimbursements for ELCP faculty, students, and staff, and maintain records of expenditures.
  • Collaborate with other organizational teams, including, but not limited to, the educational support services team, assessment evaluation quality improvement team and the information technology team.
  • Assist the Assistant Dean for Learning Communities and BAP course directors in meeting accreditation standards for the program.
  • Offer additional administrative support to the Assistant Dean for Learning Communities as needed including but not limited to data entry, general office correspondence, preparing minutes, memos/flyers, making copies, scanning documents, etc.
  • Resolve office problems independently and facilitate solutions; confer with supervisor to resolve more complex situations.
  • Employ a collaborative approach to clinical sites embedded in trust and sustainable partnerships.
  • Promote diversity and inclusion in the curriculum.
  • Develop and coordinate interactive communications for the ELCP, including, but not limited to, the Einstein website and Canvas.
  • Uphold confidentiality of student information
  • Assist the Assistant Dean for Learning Communities with reimbursement for educational conference travel expenses
  • Perform other related duties as assigned

QUALIFICATIONS

Education and Experience

  • Bachelor’s Degree and 3-5 years of experience in higher educational administration.
  • Administrative experience in higher education preferred

Skills and Competencies

* Effective and respectful communication skills* Excellent interpersonal skills and ability to work as a team* Timely follow up to all e-mail and phone correspondence* Creative and resourceful in overcoming challenges and conflict resolution * Excellent organizational and database/interactive management skills * Proficiency using Microsoft Outlook, Word, and Excel* Technical proficiency to be trained in use of online educational platforms and financial systems * Familiarity with Qualtrics is useful, but not required
