Indiana University’s Office of Online Education (OOE) is responsible for protecting and maintaining the academic integrity of an IU degree, facilitating collaborative opportunities presented by online education, and utilizing IU’s scale, resources, reputation, and diversity of offerings to expand online education offerings to students located in Indiana, as well as nationally and internationally. OOE oversees growth and development of more than 200 online degree and certificate programs that to date enroll almost 10,000 students annually.
The Office of Online Education is a university-wide office that provides strategic leadership to IU stakeholders in delivering online education. In 2022, the IU 2030 Strategic Framework endorsed by President Whitten challenged the university to triple the number of students in online programs, and OOE is pleased to be developing programs and services with IU’s campuses to meet this strategic goal.


Department-Specific Responsibilities

  • Reports to the Program Management Specialist, IU Expand. 
  • Serves as liaison, collaborator, and process expert to oversee and provide timely, excellent stakeholder services, administrative management, and systems support for the IU Expand platform as well as Canvas Credentials (digital badge creation/maintenance).
  • Initiates administrative documentation and tracks workflows. 
  • Organizes, stores, and tracks documentation in shared repository sites and spreadsheets. 
  • Monitors, reviews, and audits IU Expand administrative documentation received via Qualtrics form submissions. 
  • Initiates, replies, and communicates with departmental contacts and other stakeholders as needed to gather and share necessary information. 
  • Ensures timely processing of informational follow-ups and signature execution on platform MSA (Master Services Agreement), CPF (Course Proposal Form), and SOW (Statement of Work) documentation. Verifies accuracy and completion of data and information and resolves discrepancies.
  • Evaluates pending and/or newly published IU Expand listings to ensure compliance with platform standards, including Canvas course accessibility review outcomes from IU’s Ally software assessment, and completion of necessary administrative requirements. Follows through with stakeholders when content requires updates or changes to include necessary accessibility remediation action. 
  • Prepares documentation to help stakeholders understand IU Expand listing standards and review/approval process.
  • Serves as primary IU Expand Jira Administrator and inbox monitor for [email protected] as well as [email protected]. Assigns, responds to, and follows-up on Jira tickets. 
  • Learns, maintains, and applies technical or systems knowledge related to Qualtrics, Jira, Canvas, IU Expand, and Canvas Credentials to troubleshoot stakeholder and system issues and proactively address workflow and system issues that may negatively impact user experience. 
  • Recommends improvements while complying with departmental and university policies and standards.
  • Responds to requests for program information and handles correspondence. 
  • Schedules and conducts initial consultation meetings with various constituents (deans, faculty and staff) to learn their unique project/program use case and suitability for the IU Expand platform and/or Canvas Credentials.

General Responsibilities

  • Conducts research and compiles materials and information for departmental programs.
  • Prepares records of program activities; oversees and ensures the timely processing and delivery of required materials.
  • Reviews the policies and procedures involved in departmental programs; suggests improvements; and ensures that rules comply with university standards.
  • Analyzes data and information generated or produced by program; writes reports and other written materials based on this data.
  • Verifies the accuracy of all data and information used or generated by program; resolves any discrepancies or problems.
  • Responds to requests for program information by staff, students, and faculty; handles any necessary correspondence.
  • Serves as liaison for department; coordinates activities and exchanges information.


EDUCATION

Required

  • High school diploma or equivalent (such as HSED or GED)
     

Preferred

  • Bachelor’s degree or some completion in higher education coursework

WORK EXPERIENCE

  • 4 years of related work experience

This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. What is IU Expand?

IU Expand is Indiana University’s rebranding of Instructure’s Canvas Catalog, which provides a customer and registration interface for Canvas hosted courses. IU Expand hosts over 2,000 unique professional and non-credit courses with a cumulative enrollment of 200,000 plus. The platform brings continuing education courses, trainings, and specialty knowledge to IU students and employees as well as the general public via IU Guest Account log-in. IU Expand has collected $1M plus in university revenue since the platform’s paywall launch in June 2017.

What is Canvas Credentials?

IU subscribes to Canvas Credentials to provide a digital badge creation tool and awarding mechanism to university educators. Digital badges are a visual indicator of a learning activity or experience, and are embedded with verified metadata, which makes them shareable across social media and the internet. Digital badging is available to all students, faculty, and staff on all Indiana University campuses.

Digital badge(s) can recognize a microcredential. A microcredential is a focused collection of demonstrated and valuable knowledge, skills, or competencies assessed or verified by IU. The source of these learning achievements or outcomes can be for-credit, non-credit, or some combination thereof.

This is an in-person role with the eligibility to work a hybrid schedule (mix between in-person work and remote), subject to change in the future based on university policy and business needs.


$21.64 – $23.08 per hour based on experience
