What we want
The Program Manager, under direction, plans, organizes, directs, and manages day-to-day activities for two programs: faculty workload and student enrollment. Develops and implements procedures for the administration of the programs. For the faculty teaching workload program: develops policies and procedures for the School of Medicine that align with TAMU policies and procedures as well as collect and analyze data on faculty teaching activities. For Student enrollment: registers, processes transcripts, and conducts graduation clearance; liaises with the university registrar, student business services, and financial aid on behalf of the MD program. This role will directly and indirectly supervises staff who assist with planning and documenting student schedules, maintaining overall student records (grades, transcripts, etc.) and graduation clearance.

Required Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience

  • Five years of experience in program management and coordination in the medical education field

Required Knowledge, Skills, and Abilities:

  • Knowledge of word processing and spreadsheet applications

  • Effective verbal and written communication skills

  • Strong interpersonal, leadership, problem solving, and organizational skills

  • Maintains attention to detail and utilizes sound judgment

  • Ability to multitask and work cooperatively with others

Preferred Qualifications:

  • Master’s degree preferred

  • Experience in medical education, higher education, courses/rotations and supervision/leadership

  • Knowledge and skills in accreditation (ex: SACSCOC, LCME)

  • Experience in student enrollment/registrar duties

  • Collecting, maintaining, and analyzing data

Responsibilities:

  • Faculty Teaching Workload Policy & Procedures – Works directly with Academic Affairs, Faculty Affairs and other stakeholders to effectively develop and implement processes, policies and procedures. Develops and produces materials, processes, policies, and trainings to support faculty teaching workload projects. Provides feedback and recommendations on faculty workload allocation and adjustment based on unit goals and priorities. Provides feedback and recommendations on how to optimize faculty workload distribution and alignment with unit goals and expectations. Assists in developing strategic plans and goals to support the program.
  • Faculty Teaching Workload Tracking – Develops and maintains faculty workload data and compare actual course load with expected standards based on their rank and position. Uses various tools and software/project management applications to manage and visualize faculty workload data. Prepares and maintains faculty workload reports and databases that comply with the university/school policies and standards.

  • Student Enrollment – Performs Student Registration and enrollment. Provides management of Instructor of Record. Provides management of transcripts. Conducts graduation clearance. Liaises with the TAMU Registrar, Student Business Services and Financial Aid on behalf of the MD program.

  • Central Academic Affairs Work/Other Duties – Plans, organizes, directs, and manages day-to-day activities as assigned by Academic Affairs. Assists with yearly budget in relation to faculty workload. Provides direct supervision for the Program Coordinator. Provides indirect supervision for the School of Medicine Academic Advisors across campuses/sites.   Maintains and develops communications between partners by attending meetings and conference calls. Performs other duties as assigned.
