We are looking for a Programme Assistant to join our team as soon as possible, latest in March 2024. The Programme Assistant will join the implementation team of the WYDE Civic Engagement (WYDE CE) project. WYDE CE is an EU-financed project that aims to improve the enfranchisement, empowerment, and inclusion of youth in all levels of democratic participation at the national, re​​gional and global scales.

The position is available for an initial period of two years.

Accountabilities and key relationships

The Programme Assistant will be based in Brussels and will report to the Head of Programmes (based in Germany). 

As a member of the WYDE CE team, the Programmes Assistant will work in close cooperation with the EPD Programme Manager and the EPD Political and Electoral Participation Coordinator (both based in Brussels, Belgium). The Programme Assistant will also have regular working relationships with the rest of the project team and other EPD staff.

Duties and responsibilities

Project management

  • Providing assistance on project management (planning and implementation of activities, narrative and financial reporting, etc.);
  • Supporting the daily work of the project team (attending and writing reports/minutes of events, maintaining databases, etc.);
  • Supporting the work of the project team in monitoring the budget as well as the financial reporting process with the funder and partner organisations;
  • Assisting the EPD Political and Electoral Participation Coordinator with the procuring and selection of external experts for international project missions;
  • Supporting the project team with other procurement and selection processes, such as for research fellowships or grants, by launching calls for applications, assessing applications, or monitoring compliance;
  • Supporting the EPD Grant Officer with the review of financial and narrative reports provided by sub-granted organisations.

Logistical support

  • Supporting the logistical organisation of international project missions, conducted by team members and/or external experts (travel and accommodation, catering, event venues, insurance, visas, etc.);
  • Assisting the EPD Political and Electoral Participation Coordinator and the Programme Manager in recruiting external experts;
  • Providing ad-hoc support to urgent requests and/or changes to international project missions;

Monitoring, evaluation and learning (MEL)

  • Support the overall implementation of WYDE CE’s MEL plan;
  • Contributing to the identification of project outcomes (behavioural changes of target groups);
  • Conducting post-mission reviews to understand the level of satisfaction among key stakeholders.

Communication and events

  • Providing input for EPD’s communication channels on various project activities and contributing to the drafting of communication products, such as newsletters, etc.; 
  • Representing EPD at meetings with funders, partners and policy makers in Brussels and elsewhere;
  • Supporting the organisation of events (seminars, public events, conferences).

Miscellaneous

  • Providing other kinds of assistance as requested.

Requirements

  • Bachelor’s degree in political science, international development, social sciences, or a relevant field of study is required;
  • Previous experience in project management is considered a strong asset;
  • Previous experience in and/or knowledge of youth issues and/or youth involvement in public affairs is considered a strong asset;
  • Previous experience in and/or knowledge of democracy support, particularly electoral support, is considered an asset;
  • Previous experience in and/or knowledge of (EU) international development across the African continent is considered an asset;
  • Very good written and spoken English and French is required;
  • Spanish language skills are considered an asset.
