Project Administration and Co-Ordination SupportAre you an organised and proactive professional with a passion for driving project success? We’re looking for a dynamic Project Support Coordinator to play a key role in the planning and execution of our projects. In this vital position, you’ll support project management by organising and controlling day-to-day activities—ranging from gathering and distributing documentation to generating key financial data for budgeting and analysis. You’ll also coordinate supplier administration, facilitate project-related meetings, and contribute to the successful completion of third-party audits. This is an exciting opportunity to provide critical administrative support while helping the team deliver on strategic goals.Project Administrator/Co-Ordinator – Key ResponsibilitiesThis role is dynamic and may vary depending on workload and cover requirements, but typically includes the following core areas:Project Progress & ReportingMonitor labour attendance and trends (e.g. absence, holidays)Resolve booking discrepancies with supervision and payrollCollect and update weekly/monthly project progress data and reportsSupport Earned Value data collection and maintain H&S and quality statisticsProject FinancialsInput labour and third-party costs for customer approvalCoordinate signing, scanning, and submission of finance sheetsAssist Commercial team with cost variation and delay documentationProject Support & AdministrationPrepare project reports using Excel and PowerPointMaintain team holiday charts and provide cover for colleagues as neededOrganise and support project meetings, reviews, and lessons learned sessionsManage time & attendance reporting, training records, toolbox talks, and notice boardsSupport budget preparation and track third-party spendLiaise with QA for up-to-date documentation and inspection reportsProvide admin support for internal/external communication and meeting logistics, including minute-taking and action trackingEssential CriteriaProven experience in project reporting and compiling high-level reportsProficient in Microsoft Office, especially ExcelAbility to read or willingness to learn to read construction/engineering drawingsStrong written, numerical, and communication skillsExcellent time management, organisational, and administrative abilitiesAdaptable, proactive, and able to work under pressure to tight deadlinesHigh attention to quality standards and detailSkilled in supporting projects, services, and initiatives with minimal supervisionAnalytical and problem-solving mindset; understanding of Statistical Process Control (SPC)Customer-focused with professional conduct, including strong phone and email etiquetteAbility to assess and meet customer requirements in line with project schedulesDesirable CriteriaFamiliarity with Health & Safety, Quality, and basic financial/accounting proceduresExperience with business processes and improving team collaborationStrong cross-functional collaboration skills with internal departments
