The Operational Analysis & Technology Center (OATC) is part of Supply Division and provides technical support and develops new solutions for the wider global Supply Community that ensures efficient and effective programme delivery of goods and services.

The Digital Supply Chain Initiative (DSCI) is a part of that mandate and in collaboration with business units across the supply chain, OATC is facilitating an extensive range of projects and new capabilities. The DSCI portfolio requires strong governance and oversight with extensive monitoring of investments and assignment of resources to deliver the results.

How can you make a difference?

Under the general supervision of the Chief, Operational Analysis and Technology Center (OATC), supports project oversight processes and provides administrative and budget support ensuring smooth operations are performed across the center on behalf of the chief and for the center.

  1. Acts as the Focal Point for all budgetary and purchasing activities. This includes drafting of the annual OATC budget plan (for all IT equipment, software, and services requirements), ensuring that sufficient funds are earmarked for key activities and monitoring overall expenditure in SAP. Ensures the timely renewal of service/maintenance agreements and follows-up on all procurement processes from requisition to final payment. Prepares all ad hoc SAP & Excel budget reports.
  2. Creates Purchase Orders in SAP, to procure items against Long Term Agreements (LTAs). Creates requisitions, funds commitments and low-value Purchase Orders (PO’s). Drafts decision notes and Terms of Reference (ToRs) and creates consultants’ contracts. Processes the associated invoices. Assists other centers as back-up for procurement related activities as and when needed.
  3. Provides reporting and analysis of OATC budget and financial performance to the Chief and prepares status reporting for operations and projects using predefined formats. Recommends changes to financial priorities based on knowledge of the project portfolio and operational requirements of OATC. This is via coordination across the units and their leaders.
  4. Undertakes the registration of assets to ensure OATC’s attractive items & assets are correctly managed. Updates the OATC asset registers, ensuring that status is up to date whenever needed for review committees. Participates in meetings & acts as SME/resource person for Asset Management, including staying updated with current relevant policies. Prepares documents for OATC’s submissions & presents OATC’s cases to the oversight committee. Keeps a record of all leased laptops and oversight of expenditure for leased equipment.
  5. Performs operational tasks for the OATC; which includes attendance and absence focal point, follows-up with supervisor and staff with relation to PER’s and maintaining IT centre’s official operational files and electronic records.
  6. Acts as Procedures Focal Point, takes the lead in and follows-up on the drafting of division and centre procedures originating in OATC. Reviews all draft procedures prepared by other centres with a view to identify which will impact on/be of direct relevance to the centre. Presents to and obtains feedback/approval from Chief, OATC of all such relevant draft procedures.
  7. Acts as Training Focal Point, responsible for compiling and preparing training proposals including first aid refresher courses. Liaise with Training Unit to ensure that approved training events take place.
  8. Coordinates social events and monitors staffing issues on behalf of the Chief in support of unit leads. Drive well-being initiatives in the centre and represent staff feed-back, concerns and interest in this area to the Centre chief. Coordinates & organizes OATC’s meetings & special events.
  9. Provides full administrative support to the Project Review Board (PRB) as a member of the Secretariat. This includes coordinating the submissions cycle, scheduling, and review of said submissions in collaboration with the Project Management Officer (PMO). The Operations Associate identifies areas of improvement in the PRB submission and highlights required changes to the PMO. The Operations Associate also supports the Digital Supply Chain Initiative (DSCI) Strategy Leads to ensure the overall project portfolio status is clear, in terms of financial implications and outcomes. The Operations Associate then supports the PMO in executing changes to the DSCI portfolio thereby ensuring continuity and coherence in the governance processes.

Requirements:

  • High school diploma (Completed Secondary School Diploma)
  • Minimum six years in progressively independent activities administering and coordinating budgets and/or projects.
  • Fluency in written and oral English

Desirables:

  • Additional education from a commercial college or the equivalent
  • Certified training in project management and/or IT disciplines such as support or software development.
  • Experience in in an Information Technology and/or a Finance & Accounting center/environment.
  • Working knowledge of Danish.
  • Knowledge of another UN language (French or Spanish).

Eligibility:
