Summary: The Project Coordinator will work as part of an operational team providing day-to-day support and coordination to the implementation of a new project of CVT in Ninewa plains that focuses on addressing the trauma rehabilitation needs of vulnerable minority populations including but not limited to the Shabak community who are suffering from the effects of war and violence. S/He will support with partnership development and close collaboration with partner organizations including survivor led initiatives and groups. The Project Coordinator will contribute to the development of processes and systems and will also lead coordination required for clinical activities and support for survivors to access justice initiatives and reparations, including in relation to operations, M&E, and finances.

 

Job Responsibilities

  • In collaboration with leadership and trainers, develop, coordinate and oversee systems, processes, and work plans aligned to the project objectives and support high quality clinical and justice related project activities.
  • Lead selection process of partner organizations alongside members of an interdisciplinary clinical team, build and maintain trusting relationships with partners and support collaboration in order to provide quality support to survivors and facilitate access to justice related initiatives including reparations.
  • Support with developing systems to assess partner organizations clinical competencies, organizational capacities and develop training plans, implementation of co-delivered services and follow up to meet the needs of partner organizations and the communities they serve.
  • Facilitate connection, support and trusting relationships with survivor led organizations, vulnerable communities and their leaders.
  • Coordinate and support awareness raising campaigns in vulnerable communities alongside members of the clinical team.
  • Participate in and develop relationships with relevant organizations to map of justice related processes.
  • Maintain trusting relationships and facilitate co-operation with the local authorities and relevant international and local NGOs on administrative issues and attend NGO coordination meetings.
  • Scheduling internal and external meetings, creating documentation such as spreadsheets and minutes of meetings as needed.
  • Arrange logistics for project team activities based on the needs communicated by clinical team and project staff – involves collecting and sharing the following; 1) liaise with partner organizations to plan activity implementation, 2) project teams movement plans, 3) project monthly activity plan, 4) project team calendar via outlook, 5) external venue needs, 6) required supplies for project activities and trainings.
  • Submit the estimated expenses for monthly wire transfers and all forms required for purchase requests for field supplies, trainings and project activities.
  • Support online activities by creating meeting links, helping all staff use online and electronic platforms and providing tech and coordination support during online activities like meetings and trainings.
  • Maintain electronic resources including storing translated documents and clinical materials and completing computer backups on external hard drive for project team. Conduct final review of monthly M&E reports before they are submitted by the project team to M&E – this involves following up directly with project team members regarding any missing data.
  • Regularly monitor that the project team completes all required M&E documentation (e.g. attendance forms, training logs, pre- and post-tests, etc.).
  • Responsible for compiling and drafting the quarterly project reports to the donor.
  • Assist with proceeding governmental paper work and transactions related to the project.

  • Support travel and accommodation arrangements for staff and visitors, including visas and work permits as applicable and obtaining security access/clearance, as needed.
  • Attend and represent CVT in INSO security meetings and other relevant external meetings.
  • Alert staff on upcoming security concerns through appropriate communication channels.
  • Monitor the political, economic, environmental and social context in the operational area.
  • Immediately report any security incidents or concerns to the Country Director.
  • Participate in the development of new grant proposals, activities, systems and processes.
  • Remains flexible to assume other duties that may be assigned from time to time.
