Project Management Support Senior Officer Role
The Project Management Support Senior Officer assists the Project Coordinator in project management, monitoring, coordination, and reporting, with a focus on both operational and technical aspects. Responsibilities include support extended to 1) Portfolio and project management: a) Preparing regular project reports and briefings; b) communication/coordination with external stakeholders; c) Reviewing the status of activity-level projects and assessing performance criteria; d) Identifying and anticipating potential risks and issues related to delivery forecasts; e) Ensuring compliance with narrative and financial reporting obligations for all projects; e) Assisting in preparing plans and budgets and coordinating tasks and resources; etc. 2) Knowledge Management and Documentation: a) Establishing and maintaining updated resource tracking systems to facilitate effective planning, forecasting, and delivery tracking; b) Ensuring that project information and documentation, including deliverables, budgets, expenditures, and financial forecasts, are managed and maintained to high-quality standards.
Functional Responsibilities
Project Management and Coordination:
- Support the preparation and implementation of project plans, schedules, and budgets.
- Coordinate activities with contractors, consultants, and other stakeholders to ensure timely delivery of project outputs.
- Assist in managing project workflows and tracking progress
Monitoring and Reporting:
- Oversee project monitoring processes and maintain comprehensive documentation on project activities, outputs, and results.
- Prepare high-quality reports, presentations, and briefs for stakeholders, ensuring clarity and accuracy.
- Monitor activity-level performance and identify potential risks, proposing mitigation measures where necessary.
Knowledge Management:
- Establish and maintain resource tracking systems to facilitate effective planning and decision-making.
- Manage and update project documentation, including deliverables, budgets, and expenditure forecasts, ensuring compliance with quality standards.
- Contribute to knowledge-sharing initiatives by organizing data and lessons learned for use in future projects.
Stakeholder Engagement and Communication:
- Facilitate effective communication with AMS stakeholders, contractors, and development partners.
- Provide logistical and technical support for stakeholder consultations, workshops, and capacity-building activities.
- Foster strong relationships with stakeholders to promote collaboration and ensure alignment with project goals.
Operational Support:
- Assist in procurement, financial management, and human resource-related tasks as required.
- Support compliance with UNOPS procedures, policies, and guidelines in all aspects of project operations.
Impact of Results
- The effective and successful achievement of results by the Project Management Support Senior Officer contributes to the performance and image of SEA-MaP and of UNOPS as an effective service provider in project services and management and consequently strengthens its competitive position as a partner of choice in sustainable development and project services in the country served.
- Prepares detailed project plans, reports, and documentation maintained to a high standard.
- Delivers timely and accurate monitoring reports, including recommendations for risk mitigation.
- Contributes to efficiently coordinate stakeholder activities, workshops, and consultations.
- Establishes and maintains knowledge management systems for seamless access to project data.
- The impact of the work reflects directly on the professionalism of the incumbent and the overall reputation of the team for high quality work in terms of both substantive depth and adaptive relevance to client needs.
Education/Experience/Language requirements
Education:
- A minimum advanced university degree (Master’s or equivalent) or higher degree is required. Preferably in project management, environmental science, business administration, or a related field.
- A first university degree (Bachelor’s or equivalent) preferably in the above-mentioned fields or related field with two (2) additional years of relevant experience may be considered in lieu of an advanced degree or higher degree.
Experience:
- Minimum of two (2) years of relevant experience in project management, coordination, or operational support, preferably within international or regional projects.
- Proven experience in supporting monitoring, reporting, and documentation processes is an asset.
- Familiarity with the ASEAN framework and World Bank project requirements is an asset
Skills:
- Project management and organizational skills are highly desirable.
- Proficiency in Microsoft Office Suite and project management tools is an asset.
- Knowledge of marine plastics or environmental sustainability issues is desirable.
Language Requirements:
- Full working knowledge (Fluency) in written and oral English is required.
- Knowledge of another official UNOPS language is an asset
