Project Manager – Co-Lead (m/f/d)

Safe Passage Fund is hiring a Project Manager (Co-Lead) for 30 hours/week. The position starts in May or June 2025, and is initially limited to one year with the desire for extension. This position will be compensated circa. 3.000 Euro gross monthly for 30 hours/week. We work remotely with flexible hours, although if based in Berlin, a hybrid office schedule (welcome to dogs!) is possible.

ABOUT SAFE PASSAGE FUND

We are an emergent women* and activist-led intermediary fund that resources grassroots movements to dismantle the harmful impacts of Europe’s migration enforcement regime and build collective power for societies of solidarity and holistic belonging. We consist of a participatory activist and women* board with decision-making over grantmaking, a cohort of voluntary advisors, and a passionate small paid team, currently being our project manager and our project support.

We’re in an exciting moment of growth, development and transformation which will inform the coming years of our work. Originally born spontaneously from a crowdfunder in late 2019, we’ve now pivoted towards a model of engaging with progressive philanthropy, and our aim is to continue in this direction. Our work currently includes the following lines:

Fund+: We liberate resources through strategic grants to grassroots grantee partners advancing migrant justice in Europe.

Hub: We build capacity and accompany our partners by virtually convening them several times a year with external trainers and cross-border skill-sharing.

Advocacy: We synthesize and present our learnings in various forms, advocating for increased values-aligned, grassroots-centric and participatory funding within the philanthropic field.

RESPONSIBILITIES

As project manager (co-lead), you will play a leading, dynamic and engaged role in the operational work and relationship-holding of Safe Passage Fund to enhance our social change impact and upgrade major donor prospects.

Together with our current co-lead, your shared key responsibilities will be:

Leadership and Strategic Guidance

• Lead in implementing the strategy and direction of the Fund
• Stay informed on trends and innovations in the migration field, nonprofit management, and philanthropy to influence program strategies
• Collaborate across teams to advance organizational goals and priorities
• Represent at external events to effectively communicate the organization’s values, mission and fundraising needs
• Nurture long-term, positive partnerships. Internal relationships include our Board and volunteers, as well as our fiscal sponsors, while external relationships include a small portfolio of donors, philanthropic networks, and other informal and formal alliances in the migration and civic society field

Grantmaking

• Support discussions on strategic priorities and reflections for grantmaking
• Maintain an organized overview of grant applications and be a primary point of contact for check-ins and answering grantee partners’ questions
• Support the organization of virtual capacity-building sessions with trainers

Financial Administration

• Support managing budgets and preparing financial reports
• Support coordinating invoice and grant administration with our bank (GLS Treuhand) and select fiscal hosts

Learning

• Support implementing and co-conceptualizing a MEAL (Monitoring, Evaluation, Accountability, and Learning) framework, synthesizing learnings from grantee calls, reports, and online sessions to highlight concrete grantmaking outcomes
• Support content creation (i.e. reports, newsletters, online posts), ensuring cohesive storytelling across publications, website, and social media.
• Participate in learning and knowledge-sharing activities relevant to the wider migration and funding field to enhance our learning processes and impact

Essential skills, knowledge and experiences

• You’re excited by the prospect to become embedded in philanthropic networks and be an impassioned advocate for how money can be moved in accountable ways to build power for migrant justice.
• You have 3+ years of experience in the philanthropic sector – or alternately the non-profit sector – and can bring expertise about the industry and your own (small) network. Ideally these were project-leading roles, and ideally you’re familiar with philanthropy, such as having helped secure grants in the past.
• You are familiar and/or have some confidence with finance management, including working with spreadsheets and ensuring a project aligns with financial goals and income.
• You’re proactive, detail-oriented, and can maintain an organized workflow with multiple simultaneous projects.
• You’re great at written and oral communications in English – you can synthesize information effectively, and you can present compelling narratives for a range of audiences.
• You are a strategic, learnings- and impact-oriented person. You are able to engage with MEAL (Monitoring, Evaluation, Accountability and Learning) to understand broad trends that impact grassroots movements for migrant justice, and use data as sources of narrative and advocacy.
• You’re interested in how social change happens, including some knowledge of the diverse movements and organizations combatting systemic inequality, and how they relate to one another.
• You’re familiar with some of the political and legal issues impacting migrants and diaspora communities in Europe, with eagerness and interest to deepen your knowledge.
• You have the ability to travel up to a few times a year.

• You have strong interpersonal skills, including the ability to navigate disagreement and conflict in a constructive manner.

• You bring lived or learned experience of grassroots social movements and theories of social justice / change to inform your values and innovate your work.
