Job Summary

Under the general direction of the Perioperative Executive Director, Business Administrative Manager, and Service Line Director for Surgical Services, the Perioperative Project Manager (Project Manager) is responsible for supporting and facilitating the long-term success of pediatric perioperative services at UCSF Benioff Children’s Hospitals (all campuses).  Responsible for supporting program development through strategic analysis, development of financial and operational-based reports, development of Epic-based tools and dashboards, and management/oversight of clinical data registries and/or national benchmarking data.  Assists with management of the operational and capital budget processes.  Supports UCSF’s overall mission to provide high-quality patient care, teaching and research.

The Project Manager will also handle the following:

  • Supports the development of strategic, and other long-range plans and policies for the effective implementation and operation of pediatric surgical inpatient and outpatient programs and associated activities within the Children’s Hospital in collaboration with the Executive Director, Perioperative Triads, Department Chairs, Service Chiefs, Medical Directors, and other appropriate representatives of the Medical School and BCH.
  • Coordinates clinical and project teams to ensure timely and accurate delivery of data and assists with analysis for opportunities for improvement.
  • Supports overall operations of pediatric perioperative services.  
  • Develop reports to support operating and capital budgets, KPIs, improve ongoing staffing/productivity, and increase efficiency & effectiveness of patient care programs.
  • Supports the development and evaluation of new Epic and Tableau reporting tools, dashboards, and models.
  • Modifies and maintains existing data and reports as needed to ensure accuracy and adherence to standards, policies and procedures. Generates new reports as needed using Epic Clarity, SQL, Tableau,  and other report-writing tools.
  • Compiles data and ad hoc reports to support perioperative cross-bay business office as well as organization-wide data support including but not limited to ACS, CHA/COMPARE, IQF, and Leapfrog.
  • Works to integrate clinical informatics into education and quality data collection to maximize staff efficiency and skills, along with the Perioperative Educators across UCSF Benioff Children’s Hospitals (all campuses). 
  • Coordinates the planning, design, development, training, implementation, communication, maintenance, and evaluation of existing or new functionality related to clinical information systems.
  • Creates and maintains a climate for effective communication, problem-solving, leadership, staff development and constructive team-oriented working relationships among peers, physicians and health care staff.
  • Support long-range strategic plans and objectives and identifies gaps/opportunities to improve patient access and experience.   
  • Work collaboratively with LEAN/Process Improvement team to improve efficiency and implement new programs and initiatives. Assists project teams in structuring work and agreed upon key deliverables; tracking project completion status and updates on key deliverables; and informing leadership on upcoming milestones, deadlines, and other key dates.
  • Works with appropriate Medical Center, Medical School, Medical Group and other medical staff to ensure continuity of care and the effective integration of all health care services into an efficient and well-organized service delivery system.
  • Represents Children’s Hospital in relevant activities of finance, Medical Staff committees, campus services, quality services, marketing and contracting, information systems, and other components of the clinical enterprise.
  • Perform other duties as assigned by the Perioperative Leadership Team.

Department Description

Benioff Children’s Hospital is a complex pediatric academic medical system with 379 beds, a member of the University of California San Francisco (UCSF) Health System. We are one of the top Children’s Hospital Systems on the West Coast, which is consistently ranked in several specialties within the U.S. New and World Report. UCSF is nationally recognized as one of the Top 5 National Institute of Health-funded research centers in the country. UCSF Benioff Children’s Hospital Medical staff of 928 and hospital staff of over 5,100 FTEs.

The Perioperative Unit at Mission Bay has eight (8) Operating Rooms supporting ten (10) service lines. This is part of the larger BCH surgical services which consists of 24 Operating Rooms across three campuses (Mission Bay, Oakland, and Walnut Creek) supporting General Surgery, Orthopedics, OHNS, Urology, Dentistry, Ophthalmology, Plastic Surgery, Cardiac Surgery, Neurosurgery, MRI, and other subspecialty and procedural services. 

Required Qualifications

  • Bachelor’s degree in a related area and / or four years of applicable experience
  • Three years of experience in healthcare administration or a related field
  • Two years experience working as a programmer/analyst or analyst designing, developing and/or testing computer-based clinical software applications; will consider system design experience of less than two years based on a review of other qualifications 
  • Strong communication and interpersonal skills to communicate effectively with all levels of staff and influence, both verbally and in writing.
  • Advanced project management skills.
  • Advanced analytical / problem-solving skills.
  • Ability to multi-task with demanding timeframes.
  • Advanced knowledge of Microsoft Office including Excel, Word, and PowerPoint
  • Advanced knowledge of hospital operations in a complex hospital setting
  • The ability to work onsite at one of several locations (San Francisco, Oakland, Walnut Creek) when needed.

Preferred Qualifications

  • Master’s degree
  • Experience in Pediatric Healthcare
  • Experience working for an Academic Medical Center
  • Medical record review and abstraction experience
  • EPIC/Electronic Health Record experience
  • EPSi or equivalent experience
  • Experience with Lean methodologies and process improvement
