Position Summary:

Florida Atlantic University is seeking a Proposal Administrator – – Boca Raton, FL.

The Proposal Administrator works closely with the Director and Associate Director of Sponsored Programs, OSP award services, and OSP contract services within the Division of Research.

Summary of Responsibilities:

  • Serves as the central Proposal Administrator for investigators and facilitates University research and sponsored program activities for assigned units/colleges; may serve as back-up to other colleges, departments and units.

  • Advises faculty and departmental research administrators in answering questions related to the preparation of proposal applications for external funding including budget development, budget revision, solicitation interpretation, and other aspects of proposal preparation. Ensures that proposals are correct, adhere to sponsors regulations and are submitted timely.

  • Serves as a source of expertise to ensure that proposals meet sponsor requirements; regulatory compliance requirements, University, school, federal, and state policies and regulations governing sponsored research; consult with appropriate managerial staff on any exceptions to University policy, including program matching commitments, facilities, and administrative rates, etc.

  • Conducts reviews of proposal documents and applications submitted through FAU’s Novelution system and provides feedback to the PI and departmental research administrator regarding missing and/or incomplete information. Identifies proposal information requiring changes or edits and ensures proposal is correct, adheres to sponsor requirements, and submitted timely. Maintains complete records and documentation.

  • Confirms investigators and other personnel on a proposal have completed required University, sponsor, regulatory, and other training mandates and disclosures.

  • Serves as liaison between principal investigators, university units, sponsors and the Office of Sponsored Programs.

  • Resolves routine and non-routine problems, including complex situations as they arise or recommends solutions. Must have the ability to seek resolution through various resources and provide proper guidance.

  • Exercises independent sound judgment in following established procedures where alternative solutions are limited.

  • Utilizes a solid understanding of federal regulations for sponsored awards including grants, contracts, and cooperative agreements.

  • Stays abreast of changes to federal regulations, sponsor rules and university policies.

  • Familiar with sponsors submission portals.

  • Conducts individual or group trainings with faculty and staff regarding proposal submissions including sponsor proposal submission systems, i.e. Grants.gov Workspace, Research.gov, NIH ASSIST, etc.

  • Represents university at regional and national meetings.

  • Performs other job-related duties and carries out other responsibilities as assigned.

Minimum Qualifications:

Master’s degree from an accredited institution in an appropriate area of specialization; or a bachelor’s degree from an accredited institution in an appropriate area of specialization and two years of appropriate experience required.
Preferred Qualifications/Skills:
Experience developing proposal/project budgets
One year of appropriate experience involving proposal preparation and budget development

Salary:

$60,000 – $67,000 per year.
