1. Organizational context

UNHCR Representation in Japan is seeking an intern to assist with general support to the office. The intern will report directly to the Private Sector Partnership (PSP) unit for assistance in its day-to-day work of management of corporate partnership. The PSP’s account management team leads UNHCR’s long-term and multifaceted partnership with Fast Retailing Group while following UNHCR’s operational processes, policies and strategies. In this regard, the intern will receive guidance and report directly to the Private Sector Partnership (PSP) manager in the Tokyo office.

2. Duties and responsibilities

• Support PSP unit to achieve the objectives set for the UNHCR-FAST RETAILING partnership
• Assist in daily work of PSP unit (Research, analysis, summarizing, compiling of information on global, regional and domestic information relevant to the office)
• Minutes taking of meetings; translation/interpretation (English to Japanese, Japanese to English); scheduling of meetings; and any other organizational and clerical tasks as may be required
• Producing and managing PSP documents (invitations, letters, proposals, concept notes, power point presentation, etc.)
• Quality assurance of PSP materials and documents
• Research on the relevant issues and initiatives
• Support in PSP activities, events, meetings, fundraising/communication campaigns and global and local initiatives
• Conducting logistical work for the PSP team
• Assist in other PSP related work which PSP unit requests

3. Minimum qualifications required

In order to be considered for an internship, candidates must meet the following eligibility criteria:

• Be either a recent graduate (having completed their studies within two years of applying) or a current student in a graduate/undergraduate school programme from a university or higher education facility accredited by IAU/UNESCO; and
• Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of UNHCR.

NOTE: An individual whose father, mother, son, daughter, brother or sister is a staff member of UNHCR, including a Temporary Appointment holder or a member of the Affiliate Workforce, is not eligible for an internship.

4. Desirable qualifications and skills

• Education in one of the following areas: business administration, marketing, journalism, international relations, development studies, with demonstrated interest in the field of human rights or refugee issues.
• Applicants must be fluent in English and Japanese, both written and spoken. High skills in interpretation and translation are necessary.
• Strong applicants will have a good knowledge of MS Office programmes and Internet applications, with excellent research skills using the internet and statistical data.
• Applicants will have interest and ability to support with project coordination activities.
• Applicants will have the ability to adapt and work as part of a team in a multicultural environment with a strong sense of responsibility and minimal supervision.
• Additional consideration will be given for past work experiences including translation, volunteering and professional office work.
• Work experience(s) in corporate would be an asset.

5. Conditions

Candidates are asked to submit a cover letter in Japanese and English, and a CV in English.

It is a full/part-time role (ideally 5 days but minimum 2 full working days per week) with working hours starting from 9.30am to 5:30pm Monday to Friday (maximum 40 hours per week). The successful candidate will be assigned to support the team in Tokyo, Japan.

The duration of the internship is initially for 6 months with possibility of extension up to 8 months for full-time or 12 months for part-time engagement.

Allowance: Interns who do not receive financial support from an outside party will receive an allowance to partially help to cover the cost of food, local transportation and living expenses. The allowance is payable in accordance with UNHCR’s internship policy; the total amount is prorated to the actual number of days/hours worked and will be paid on a monthly basis.

This is a local employment/internship opportunity and candidates must have the necessary legal status in the country to take up this position. As such, all shortlisted candidates who are not Japanese nationals will be asked to share details regarding their residence status in Japan.

The intern must be able to work fairly independently and demonstrate initiative and flexibility to effectively benefit from an internship in UNHCR. Please note that the internship does not carry expectations of subsequent employment.

Shortlisted candidates might be required to sit for a written test. Only shortlisted candidates will be notified.
