Morson Talent currently have an opportunity available for a receptionist to work on the behalf of our Aerospace client based in Crawley. This is a 3-month contract role to be worked Monday – Friday between 7am and 7pm on shifts.POSITION PURPOSE:To provide a First class, Front of House service, for all Customers and Visitors to the Campus. This will also include Campus related administration tasks as detailed below:-Customer Liaison:
Meet and greet campus visitors, which include checking in visitors attending simulator training sessions, classroom delegates, contractors and other visitors. Giving directions accordingly to the appropriate area of our facilities and information regarding H&S and the weekly fire alarm testing etc.
To operate the reception switchboard, dealing with all customer enquiries or connecting them through to the appropriate person in a timely manner.
Operating the till on the front desk to process transactions for all purchases from the onsite Boeing store, along with replenishing and ordering stock.
Preparing badges and paperwork for the following days’ visitors/students.
Security:
Initial ID checks must be carried out with all visitors to the Centre and security badges with the correct access to be given.
Operating the main car park barrier system using the CCTV and changing and updating the server and security data tapes. Ensuring the security system is used in line with the requirements of IT.
Overseeing the locker and centre keys.
Assisting with the weekly fire drill and safety testing.
Liaising with the Security Guards at the end of the afternoon shift to ensure they have all the relevant information needed for their night shift.
General/Internal Relationships:
Handling all internal enquiries/requests sent to the group email inbox or via telephone in a timely manner.
Daily checking of our briefing and classrooms providing necessary stationary as required and reporting any faults/problems.
Overseeing and monitoring the stationery for the Centre ensuring competitive quotations are sought when ordering and replenishing stock.
Raising purchase orders, requests for taxis and general filing duties.
Sort and distribute incoming post and fully oversee the daily outgoing post collection including signing for all deliveries.
Each shift will end with a documented handover for the next team member to utilise.
Other general administrative duties as required from time to time.
Centre Related Activities:
To reconcile statements/invoices against the related expenditure i.e hotels, transport, stationery etc using the information held in our systems and resolving any discrepancies as they arise.
Preparing Visa invitation letters as requested to the relevant Embassy, following up the process to the Customer and ensuring that all information is documented in the correct systems.
Assisting in new, updating and reviewing work instructions for the GSR role in conjunction with other team members and Manager as and when required.
Training new members of staff.
Experience & Education:
Proven front of house customer-support related experience preferred.
Can demonstrate previous experience of coping under pressure, providing a professional service at all times, ability to work unsupervised but also be a team player and seeking opportunities to exceed the customer’s expectations.
Proven working knowledge and understanding of e.g Excel, Word, Outlook, Adobe Reader, Power Point and must have the ability to learn in house systems.
Aviation training experience preferred.
College-related studies desired.
