Remote Administrative Support Specialist – Natural Resources

We are seeking a detail-oriented and organized Remote Administrative Support Specialist to provide administrative assistance to our Natural Resources team. This role supports environmental, conservation, forestry, wildlife, land management, and natural resource projects by coordinating documentation, maintaining records, scheduling meetings, and assisting with project administration. The ideal candidate is highly organized, self-motivated, and capable of managing multiple priorities in a remote work environment.

Key Responsibilities

• Provide administrative support to project managers, field teams, and department leadership.
• Maintain and organize digital records, reports, permits, contracts, and project documentation.
• Schedule meetings, coordinate calendars, and arrange virtual conferences.
• Prepare correspondence, reports, presentations, and meeting minutes.
• Track project deadlines, deliverables, and administrative milestones.
• Assist with data entry, database management, and document control.
• Coordinate communication between internal departments, contractors, agencies, and stakeholders.
• Process invoices, purchase requests, expense reports, and other administrative transactions.
• Support compliance documentation and regulatory reporting requirements.
• Respond to emails, phone inquiries, and requests for information in a professional manner.
• Assist with onboarding documentation and administrative procedures for new team members.
• Perform additional administrative duties as assigned.

Qualifications

• High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred.
• Previous experience in administrative support, office administration, project coordination, or a related role.
• Strong organizational and time-management skills.
• Excellent written and verbal communication abilities.
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Google Workspace.
• Ability to handle confidential information with professionalism and discretion.
• Strong attention to detail and accuracy.
• Ability to work independently in a remote environment.
• Experience supporting environmental, conservation, engineering, or natural resources projects is a plus.

Preferred Skills

• Knowledge of natural resources, environmental programs, land management, forestry, agriculture, or conservation initiatives.
• Familiarity with project management software and document management systems.
• Experience maintaining databases and preparing reports.
